Job description

The School Counselor/Academic Advisor supports scholar success by providing academic, career, and social-emotional guidance. This role works closely with scholars to ensure they meet graduation requirements, maintain engagement, and are prepared for post-secondary opportunities. The advisor helps scholars understand their academic pathway, track progress, access supports, and stay motivated throughout their high school journey.

KEY RESPONSIBILITIES

ACADEMIC ADVISING

Conduct credit audits and maintain up-to-date graduation planners

Monitor scholar academic progress and update transcripts in QuickBase and EMIS

Maintain regular advising check-ins and document interactions

Submit, verify, and communicate weekly credit submissions from teaching staff

Collaborate with teachers to support classroom success

Participate in academic schedule updates in ProgressBook

Track re-engagement of scholars and support reenrollment where appropriate

COLLEGE & CAREER READINESS Guide scholars through post-secondary planning and FAFSA completion

Assist with college applications, job training programs, and transcript requests

Support OMJ seal completion and industry credential tracking

Promote awareness of career pathways and CTE program alignment

Coordinate transition activities for 10th graders entering Work Academy

Enter community service hours into EMIS as logs are submitted

SOCIAL-EMOTIONAL SUPPORT Submit scholar referrals to mental health partners as needed

Collaborate with partners (e.g., APDS) for in-school support

Support overall scholar well-being through proactive outreach and case management

TESTING SUPPORT & COMPLIANCE Prepare rosters and assist with administration for EOC, ACT, and STAR testing

Implement testing prep strategies and monitor scholar readiness

Incentivize participation and address testing barriers

Complete weekly data verification and support accountability checks

ENROLLMENT SUPPORT AND ATTENDANCE COORDINATOR

The Enrollment Support assists the Enrollment Department by ensuring student enrollment files are complete, accurate, and compliant with school requirements. This position also supports attendance monitoring and tracking efforts to promote student engagement, timely intervention, and accurate recordkeeping. The role requires strong organizational skills, attention to detail, effective communication, and the ability to work collaboratively with students, families, and staff.

KEY RESPONSIBILITIES

ENROLLMENT FILE MANAGEMENT Review student enrollment files to ensure all required documents have been received and properly uploaded.

Monitor enrollment files for missing or incomplete documentation and follow up with families to obtain required items.

Assist families with completing enrollment paperwork and navigating enrollment requirements.

Maintain accurate and organized student records in the student information system and other enrollment databases.

Track enrollment progress and provide regular updates to the Enrollment Coordinator regarding outstanding file requirements. Ensure student records comply with school, district, and state enrollment regulations.

Assist with enrollment events, registration sessions, orientations, and recruitment activities.

Communicate professionally with parents, guardians, and community partners regarding enrollment requirements and deadlines.

ATTENDANCE TRACKING AND MONITORING Monitor daily attendance reports and identify students with attendance concerns.

Contact parents and guardians regarding student absences, tardiness, and attendance-related issues.

Document all attendance interventions, communications, and follow-up actions in the appropriate systems.

Maintain accurate attendance records and assist with attendance audits when required.

Generate attendance reports for school administration and support staff.

Work collaboratively with school counselors, administrators, and academic staff to address attendance concerns and improve student engagement.

Assist in implementing attendance improvement strategies and family outreach efforts.

ADMINISTRATIVE SUPPORT Maintain confidentiality of student and family information in accordance with FERPA and school policies.

Provide excellent customer service to students, families, staff, and community members.

Assist with data entry, filing, scanning, and record management.

Participate in department meetings, professional development, and training sessions.

Support the overall goals and initiatives of the Enrollment Department.

RequirementsStrong organizational and time-management skills.

Ability to maintain confidentiality and professionalism.

Proficiency with Microsoft Office Suite, student information systems, and database management tools.

Ability to work independently while also contributing as a team member.

PERFORMANCE EXPECTATIONS Maintain accurate and compliant student enrollment files.

Ensure timely follow-up on missing enrollment documentation.

Conduct attendance monitoring and outreach consistently and professionally.

Meet departmental deadlines and reporting requirements.

Contribute positively to enrollment growth, student retention, and overall school operations. Required Skills and Qualifications Valid Ohio School Counseling License (preferred but not required)

Bachelor's degree (preferred but not required)

Experience in academic advising, youth development, or education-based support Familiarity with Progress Book/EMIS, and QuickBase systems preferred; on-the-job training will be provided

Strong interpersonal, organizational, and communication skills

Demonstrated ability to work with diverse populations and foster equitable outcomes

Ability to manage multiple deadlines and maintain accurate records
