Accounting Operations Supervisor - Hiring Manager Notes

Openings: 3 positions | Location: Urbandale, IA | Contract: ~6 months with potential conversion.

Schedule: Daytime hours, flexible start/end between approximately 7 AM-5 PM ; no regular evenings/weekends. Overtime may be available if needed during the contract.

Hybrid: 6 days/month onsite - 1 day one week, 2 days the next, repeating (1-2-1-2). Employees come in with their assigned team.

Experience: Minimum 5 years accounting or finance experience. Degree is not required . Formal supervisory experience is preferred but not required if the candidate can demonstrate coaching/mentoring/team leadership.

Leadership focus: Hiring manager prioritizes team leadership over deep/full-cycle accounting expertise . Strong AP/AR leadership is acceptable; full-cycle accounting is not required .

Team: Leads approximately 10-12 employees across different levels, including Senior Accountants, Staff Accountant I and Staff Accountant II.

Core responsibilities: Workflow management, productivity, goal setting, KPI/performance monitoring, coaching, issue resolution, time management, and cross-functional collaboration.

Team structure: Teams support Accounts Receivable, Direct Bill/Commissions Application, and Accounts Payable functions.

Global collaboration: Works closely with teams in India ; international team-management/collaboration experience is a plus.

Month-end: High-volume environment requiring strong prioritization, communication and ability to resolve issues quickly.

Systems/Tools: Excel, Power BI, Oracle, Workday, Teams, Zoom, SharePoint . Power BI and Oracle experience are strong pluses.

Process transition: Role supports centralizing an existing highly manual process and improving technology/process efficiency. Staffing needs may evolve as the transition progresses.

Key qualities: Communication, problem-solving, coaching, leadership, time management and ability to drive teams.

Interview: 2 rounds. First with one manager; second with another manager or panel. Face-to-face is preferred when practical, but interviews may be virtual.

Start: Targeting October/November . Hiring manager wants to begin interviews around the week of October 5 . Strong candidates may receive an offer immediately after the two-round process rather than waiting for all candidates.

Job Description:

Role Summary: The Accounting Operations Supervisor leads a team of accounting operations professionals to deliver accurate, timely, and controlled transaction processing and accounting support.

This role sets clear expectations, manages weekly execution, and drives impactful process improvements that strengthen performance and the control environment.

Key Responsibilities: Supervise and develop a team through coaching, guidance, and mentorship; set clear expectations and goals; monitor and evaluate performance.

Lead, direct, and review work to maintain workflow and productivity, including assigning tasks based on skills and expertise and providing clear instructions and feedback.

Communicate effectively with internal and external partners, adapting communication style to audience and situation.

Explain and reinforce policies, practices, and procedures within the area of responsibility; provide guidance to ensure understanding and compliance.

Make impactful adjustments to procedures and processes to solve problems; analyze current processes and apply process improvement methodologies to enhance effectiveness.

Solve complex operational issues by applying critical thinking, using experience, and analyzing broader impacts and the intent behind operating principles.

Drive operational performance by setting targets, prioritizing work, monitoring results, and taking action to ensure goals are met and department outcomes are improved.

Required Qualifications: 5 plus years of professional experience in accounting or finance

Experience leading and coaching a team in an accounting operations, finance operations, or transaction-processing environment.

Demonstrated ability to assign/review work, manage priorities, and deliver weekly operational objectives.

Strong communication skills with the ability to explain policies/procedures clearly and work effectively with internal and external stakeholders.

Proven problem-solving ability, including analyzing issues with broader operational impacts and implementing process changes.

Preferred Qualifications: Bachelor's degree in accounting or related fields.

Experience driving process improvement initiatives.

Familiarity with controlled financial operations environments.

Note: Lead a team of approximately 10 to 12 colleagues.

Responsible for workflow management, prioritization, and monitoring team performance.

Set goals, provide coaching, and serve as a support resource for the team.

Partner and collaborate with multiple internal stakeholder groups.

Experience working with and supporting teams in other countries is preferred.

Act as a subject matter expert (SME) and escalation point for questions and issue resolution.

Support high-volume activities during month-end close.

Dedicated Accounts Payable (AP) and Accounts Receivable (AR) teams are in place to provide additional support.

Prior people leadership or supervisory experience.

Strong communication and stakeholder management skills.

Ability to manage priorities in a high-volume environment.

Comfortable collaborating across global teams.

Accounting operations background with experience supporting month-end activities.

Schedule/Hours: 8:00 - 5:00 (1 hour lunch)

Hybrid: 1 day one week; 2 days next week (6x a month)
