Accounting & Operations CoordinatorBenton Harbor, MI | In-OfficeFull -Time | Mon – Friday | Consistent Daily Schedule$28–$35+/hour, Dependent on experienceA locally owned, multi-company organization in Benton Harbor is seeking an experienced Accounting and Business Operations Coordinator to join its small, collaborative office.This person will work alongside the company's current part-time bookkeeper, learning each of their core responsibilities to provide knowledgeable and dependable backup coverage. The new hire will also independently handle several accounting, payroll, banking, technology, property management, and office administration functions that fall outside the bookkeeper's current role. One day may involve processing payroll and reviewing financial transactions; another may include coordinating a property repair, addressing a tenant question, or working with the company's managed IT provider.This is a true jack-of-all-trades position for someone who enjoys variety and is comfortable shifting between detailed financial work and practical business needs. The ideal candidate brings a solid technical accounting foundation, strong judgment, and the ability to work independently. Just as importantly, this person will be proactive, dependable, comfortable learning different areas of the business, and willing to step in wherever support is needed.What You'll Be DoingAccounting & Bookkeeping SupportLearn the current bookkeeper's processes and provide dependable backup coverage for accounts payable, accounts receivable, deposits, bank and credit card reconciliations, cash-flow monitoring, and timesheet entryMaintain accurate financial information across multiple business entities using QuickBooks EnterpriseAssist with monthly close, financial reporting, cash tracking, and year-end preparationHandle invoicing for consulting servicesMaintain accurate, organized financial records and supporting documentationPayroll, Banking & Financial OperationsReview employee timesheets and process payroll every other weekReconcile the IRA account monthly and coordinate the annual IRA renewalMonitor account balances and coordinate transfers between bank accounts as neededReview monthly ACH transactions for accuracyPrepare and send financial information to the bank quarterlySubmit quarterly city tax paymentsPrepare and distribute annual 1099sReview insurance renewals and help ensure vendor and tenant insurance certificates remain currentProperty Management SupportCreate, monitor, and close property maintenance work ordersRespond to tenant questions and concerns, coordinating with ownership or the field supervisor when additional support is neededSchedule property maintenance and coordinate with contractors and service providersHelp ensure property-related issues are documented, communicated, and followed through to completionProvide additional property management and administrative support as needs ariseTechnology and Systems SupportAdd and maintain functionality within the company's SharePoint siteMonitor technology needs and confirm that system backups and updates are completedCoordinate with the company's managed IT services providerAssist with setting up new workstations and user accessTroubleshoot routine technology issues and engage outside support when neededOffice & Business OperationsCoordinate with vendors, tenants, contractors, banks, insurance providers, and other outside partnersMaintain organized administrative systems, files, and processesAssist leadership with operational projects and follow them through to completionHelp identify issues, gather information, and determine the appropriate next stepSupport general office needs while contributing to a collaborative, team-oriented environmentWhat We're Looking ForRequired QualificationsSolid, hands-on bookkeeping or accounting experienceAbility to independently complete accounts payable, accounts receivable, bank reconciliations, and credit card reconciliationsExperience using QuickBooks, preferably QuickBooks EnterpriseExperience reviewing financial transactions and recognizing discrepancies or unusual activityComfort handling payroll, banking transactions, and confidential financial informationStrong organizational skills and attention to detailAbility to manage multiple priorities and follow responsibilities through to completionStrong written and verbal communication skillsDependable, proactive, and comfortable working independently in a small-office environmentWillingness to learn multiple areas of the business and provide backup support when neededPreferred QualificationsExperience processing payrollFamiliarity with IRA or retirement-plan administrationExperience preparing 1099s or submitting local or city tax paymentsFamiliarity with SharePointExperience coordinating with a managed IT services providerProperty management, real estate, or small-business operations experienceCompensation, Schedule & Benefits$28–$35+/hour, based on experienceApproximately 3 8- 40 hours per weekConsistent, in-office weekday schedule, such as approximately 8:00 AM– 4 :00 PM or 9:00 AM– 5 :00 PMPaid time off and paid holidaysIRA retirement benefitHealthcare benefits are not currently offered
