Job description
Admin Assistant 1Under direct supervision, performs a wide range of office administration duties for assigned functions or program areas; duties may be complex in nature and may involve access to confidential information. May research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or presentations. Represents program or unit, provides information and assistance to internal and external customers.Key ResponsibilitiesOffice Administration & Workflow: Performs general administrative support functions for the Interstate Compact Unit, managing confidential records, state-to-state case files, and official correspondence.Data Research & Problem Resolution: Researches, investigates, and resolves program data discrepancies or operational issues using specialized law enforcement and offender tracking platforms.Reporting & Documentation: Drafts documentation, administrative reports, spreadsheets, and presentations for unit leadership and external stakeholders.Customer Service & Stakeholder Support: Represents the unit and agency professionally; provides assistance, information, and guidance to internal staff, out-of-state compact officials, and external criminal justice stakeholders.System Data Maintenance: Accurately enters, updates, and reviews program records across inter-agency databases.Core CompetenciesDetail Orientation: Focuses on accuracy when managing complex documentation, entering data, and performing multi-system record checks.Problem Solving: Analyzes program data and operational issues, taking appropriate corrective actions or escalating matters as necessary.Interpersonal & Communication Skills: Maintains professional, respectful, and constructive interactions with team members, management, and partner public safety agencies.Preferred QualificationsProficiency in Microsoft Excel Spreadsheets and Google Workspace platform (Docs, Sheets, Drive, etc.).Proficiency in ICOTS (Interstate Compact Offender Tracking System), SCRIBE, Portal, and CONS systems.Knowledge of Interstate Compact rules, policies, and state-to-state transfer processes.Demonstrated ability to maintain strict confidentiality and handle sensitive law enforcement information responsibly.Effective verbal and written communication skills.Minimum Qualifications: High school diploma/GED and two (2) years of job-related experience.Equal Employment Opportunity Employer.
