Administrative and Budget Coordinator
nCity of O'Fallon, Missouri
Pay Range: $24.74–$27.58 per hour DOQ
nThe City of O'Fallon is seeking a detail‑oriented, organized, and customer‑focused Administrative and Budget Coordinator to join our Parks and Recreation Department. This role plays a vital part in supporting department operations by providing administrative, budgeting, and purchasing assistance across multiple divisions, including Parks, Landscape, Facilities, Recreation, Renaud Center, Tourism, and Festivals.
nKey Responsibilities
nnServe as the initial point of contact for customer inquiries and concerns.
nAssist with preparation, tracking, and review of departmental budgets; attend all budget meetings.
nResearch and compile financial data to support monthly budget reviews and annual budget development.
nMonitor and record expenditures for Parks and Recreation operations.
nCode invoices, reconcile purchasing card statements, and ensure compliance with City purchasing and financial policies.
nMaintain electronic files and databases, creating new systems as needed.
nSupport development of purchase orders, ordinances, resolutions, and memoranda.
nOversee uniform orders, supply orders, inventories, and shipping/receiving processes.
nCoordinate meetings, training sessions, travel arrangements, and scheduling of mosquito control services.
nAssist with employee onboarding and offboarding processes.
nDraft and prepare correspondence, reports, manuals, and brochures.
nCreate and edit work order requests.
nPerform additional duties as assigned.
n nRequired Knowledge & Skills
nnKnowledge of modern office practices and procedures.
nFamiliarity with city payroll processes.
nUnderstanding of customer service standards.
nKnowledge of purchasing, budgeting, and financial policies.
nUnderstanding of accepted accounting principles, including governmental accounting.
nBasic mathematical skills.
nProficiency with computers and job‑related software.
nStrong communication skills and the ability to work effectively with the public.
n nMinimum Qualifications
nnHigh school diploma or GED required.
nOne to two years of relevant administrative, budgeting, or financial experience, or completion of an internship/apprenticeship in a related field.
