Administrative AssistantWe offer:Longevity bonus7 Paid Holidays401k after a year of employmentPaid time off (PTO)The Administrative Assistant is responsible for assisting the Human Resource department with clerical duties to support the overall HR function. This position reports directly to the Administrative Supervisor, however will be assigned tasks on occasion by other members of management.Essential Duties and Responsibilities:Answers and transfers phone calls.Works closely with the HR and Finance department to scan documents into appropriate files.Welcomes and ensures registration of visitors, contractors and external people and directs them to the adequate internal contact.Maintains filing systems as assigned; this may include not only HR but other departments.Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.Receive and sort incoming mail and deliveries; giving to the appropriate person.Responds to and resolves administrative inquiries and questions.Assist Directors and other personnel with travel arrangements, incoming visitors travel arrangements.Activate and troubleshoot door card access for new hires and current employees.Provide support to the HR department and other departments as needed, including completing various errands with corresponding mileage reimbursement.Assist the HR department with the planning and execution of a range of organizational celebrations and events.Assist employees with access to our HR softwareAssist employees with uniform sizingAssist employees with locker assignmentOther duties as assigned by management.Ensure that all activities are consistent with Company Mission StatementOperate job-related equipment with or without an accommodationMeet physical demands of job with or without an accommodationPerform other duties as assignedRequired Skills/Abilities:Adaptability, Development of ourselves and others, Sustainable Vision, Innovation with Value, Achievement-driven Inspiration, Borderless Mindset, Passion for the customer and the consumer and Sense of Community.Ability to take initiative, including asking for and offering help when needed, and perform work independently without being prompted.Must maintain strict confidentiality involving company and employee information.Must lead by example in following all company policies & procedures and demonstrate professional conduct in all interactions with applicants, co-workers and customersMust demonstrate a positive attitude and be a team player as well as provide excellent customer service to both internal & external customers and co-workers.Acceptable attendancePositive attitudeTeam playerSense of urgencyAbility to meet frequent short timeline goals and deadlinesRequirements:1-3 years of administrative and clerical duties with a preference to human resources rolesBachelor's degree preferred and/or a combination of education and relevant experienceOutstanding communication skills for interviewing in person, phone and SkypeComputer knowledge with emphasis on Word and Excel and Google Suite
