Becker Public SchoolsThe Primary School is seeking an Administrative Assistant/Attendance starting October 19, 2026. Under the direction of the Principal, Program Supervisor, and/or guidance of the Administrative Assistant-Principal, the Administrative Support Assistant is responsible for providing a variety clerical and customer support functions within the building or selected programs to include such responsibilities and tasks providing customer service in screening calls, answering questions, directing callers/visitors to appropriate parties; performing daily attendance responsibilities and tasks; serving as the building/department receptionist; assisting in the maintenance of building/department records; or other duties as delegated.Essential duties outlined below are intended as "representative" examples of the level, nature and decision making expected of positions assigned to this classification. The duties below are not intended to be a comprehensive listing of all duties and tasks performed by the employees assigned to this classification.Supervisory ResponsibilitiesDirect Supervision: NoneIndirect Supervision: NoneEssential Duties and ResponsibilitiesProvides customer service functions and serves as the building/department/program office receptionist. a) Greets visitors, staff, parents, public and students coming into the office. b) Addresses routine questions and provides general directions or refers to appropriate persons in the District. c) Answers office phones, directs calls to appropriate persons or departments, and/or provides general information to questions. d) Collects monies for various activities. e) Assists in checking in supplies, materials, and equipment. f) Schedules appointments, meeting, or conference rooms. g) Screens and monitors individuals coming into the building. h) Supervises and assists students coming into the office.Serves as the building attendance secretary. a) Processes all student attendance records within the building. b) Releases and admits student to classes and assures attendance record is updated and accurate. a) Alerts counselors to any student situations or refers students to truancy, if appropriate. b) Enters, tracks, and records all excused and non-excused absences in district information system. c) Informs parents of non-excused student absences.Serves as a back up to the Administrative Assistant-Principal and may provide assistance and/or receive direction in the performance of related job duties for the building, office or department program such as: a) Assists in entering and updating student information and recordkeeping. b) Assists in compiling and/or generating various building, state/district reports. c) Assists in the recording and updating of building records concerning staff absences. Assists in locating and assuring substitutes are provided to cover classroom staff absences, as needed. d) Performs data entry and data maintenance to all department records and files. e) Maintains and updates department files, records, and databases. f) Handles and prepares confidential correspondence, letters, and materials for building administrator. g) Distributes keys and parking passes to new staff members. h) Makes copies of documents/materials, types notices, bulletins, letters, correspondence or other materials.Performs other duties of a comparable level or type, as required.Minimum QualificationsRequires a minimum of HS Diploma and a minimum of 1-3 years clerical, secretarial or administrative support experience; or a combination of education and experience necessary to perform the requirements of the work.Essential Knowledge And Specialized Subject Knowledge Required To Perform The Essential Functions Of The JobKnowledge of general office procedures and practices.Knowledge and skilled in office etiquette and customer service procedures and routines, and office equipment.Knowledge of student recordkeeping processes and operations including specialized district software utilized in maintaining and updating student and building records/files.Fundamentals of computer operation and use.Familiarity with general office productivity software (i.e., word processing, spreadsheet, internet browsers, email programs, etc.).Building policies and procedures impacting administrative operational requirements.Essential Skills Necessary To Perform The WorkCustomer service and human relation skills in assisting, dealing with and applying proper phone etiquette and informational assistance in dealing with district employees, students, and the public.Applying department and/or building specific procedures, policies, operational routines pertaining to assigned areas of responsibility.Applying and using word processing applications, spreadsheet applications and specialized database applications.Basic math skills needed to add, subtract, multiple and divide units of measure using whole numbers, fractions and/or decimals.Using and operating computers and applying office productivity software for basic word processing, file maintenance and data entry.Performing duties and tasks that require considerable attention to detail, precision, and accuracy in recording, entering, tracking or monitoring student information or district record maintenance activities.Ability to learn and apply building office routines and office procedures.Ability to learn and operate district custom applications and district software used in maintaining office records, files, lists, student data, etc.Operating and using general office requirement including, copies, fax machines, duplicating equipment, internet, telecommunications equipment and voice mail.Ability to learn and acquire skills and knowledge of other positions within area of assignment.Work EnvironmentDuties are generally performed in a typical administrative/school setting where there are minimal environmental hazards and risks. Employee(s) may be exposed occasionally to disagreeable conditions involving human/student/parental contact.Physical Job RequirementsEmployee is continuously required to talk and hear, sit, ; uses hands to finger, handle or feel; intermittently walks, stands, reaches with hands and arms; climbs/balances, stoops, kneels, and/or crouches. Exerting up to 25 pounds of force frequently, and/or a negligible amount of force constantly to lift, carry, push, pull or otherwise move objects, including the human body.
