Under the Director's direction, this role supports Estimators, Project Managers, and Project Engineers by coordinating documentation, communication, and project controls.This position also performs entry-level Project Engineer functions, assisting with planning, documentation, and coordination to support successful project execution. The ideal candidate has prior experience in construction, contracting, or a related project-based environment and thrives in a fast-paced, detail-driven role.If you are highly organized, proactive, and interested in growing your career in construction administration and project engineering, we encourage you to apply.Key Responsibilities:Administrative & Project Coordination:Assist Estimators, Project Managers, Superintendents, and Project Engineers with preparation, tracking, and maintenance of project documentation, including contracts, submittals, change orders, T & M Reports and progress reportsCoordinate communication between internal project teams, clients, subcontractors, and vendors to ensure timely and accurate information flowEntering and maintaining pending change order logs for all projectsProcessing change orders and logging them in systems and listing them on AIAHandling submittals, LEED documents, communicating with architects, and GC for approvalMaintain organized and accurate project files and records in both digital and physical formatsCompose, edit, and distribute reports, correspondence, and meeting documentationSupport multiple projects simultaneously while monitoring deadlines, priorities, and deliverablesComplete special assignments as needed, monitor progress, and assist with adjustments to project plansProject Engineer Support Responsibilities:Support document control for drawings, specifications, and revisionsAssist with cost tracking, job cost reporting, and basic project controls under the direction of the Project Manager or Project EngineerPrepare and maintain project logs, spreadsheets, and tracking toolsTime & Material Reports, tracking labor, material, and equipment on projectsEducation:Minimum of a High School Diploma or equivalent.Preferred Qualifications:Associate's degree in Business Administration, Construction Management, Engineering, or a related fieldExperience supporting multiple projects or project teams simultaneouslyInterest in career growth toward Project Engineer or Project Manager rolesExperience, Knowledge, and Abilities Required:Minimum 2–4 years of administrative experience, preferably in a construction or project-based environmentFamiliarity with construction processes, terminology, documentation, and workflowsExperience supporting Estimators, Project Managers, Superintendents, and/or Project EngineersStrong data entry, document control, and file management skillsAbility to use discretion and maintain confidentiality of proprietary and sensitive informationExcellent verbal and written communication skillsStrong organizational skills with close attention to detailAbility to multitask, prioritize, and work under time constraintsAbility to work independently and collaboratively; proactive and solution-orientedHigh degree of professionalism, maturity, and sound business judgmentCustomer-service oriented with a positive, team-focused attitudeTechnology:Knowledge of construction management software preferred (e.g., Procore), but not requiredProficient in Microsoft Office Suite (Word, Excel, PowerPoint)Experience with Adobe and Bluebeam preferredProficiency with Acumatica and Procore is a plusWork Environment:The Administrative Coordinator will work in a collaborative, indoor office setting alongside fellow team members.
