Administrative Assistant IVProvides administrative and operational support for Enrollment Services, including Admissions and Records, Student Help Center, and Enrollment Management initiatives. Oversees day-to-day office functions, supports departmental projects and enrollment efforts, manages budget-related processes, and serves as a primary administrative liaison to ensure efficient and effective operations.Minimum Education/Training/Experience: Minimum of thirty (30) college credit hours; however, fifteen (15) of the required thirty (30) credit hours may be substituted with one (1) years directly related work experience. If work experience is used as a substitute for minimal education requirement, it cannot also be used to qualify for minimum work experience. Two (2) years' experience in providing administrative support.Preferred Education/Training/Experience: Associates degree or higher. Two (2) years' experience in providing administrative support.Minimum Knowledge & Skills: Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community. Ability to gather data, compile information, and prepare reports. Records maintenance skills. Skill in budget preparation and fiscal management. Ability to use independent judgment and to manage and impart confidential information. Ability to analyze and solve problems. Ability to plan, develop, and coordinate multiple projects. Skill in organizing resources and establishing priorities. Demonstrated ability to maintain confidentiality. Word processing and/or data entry skills. Knowledge of office management principles and procedures. Skills in the use of database management, word processing, spreadsheet, and/or presentation software. Organizing and coordinating skills. Ability to foster a cooperative work environment. Knowledge of general accounting principles.Preferred Knowledge & Skills: NoneLicensing/Certification Requirements: NoneJob Duties: Oversees and administers the day-to-day administrative activities of Enrollment Services; develops and maintains procedures and systems to ensure productive and efficient workflow. Provides administrative support for Enrollment Management initiatives, including tracking reports, assisting with outreach logistics, and supporting enrollment campaigns as directed. Provides assistance and support in problem solving, project planning, and execution of departmental goals and enrollment objectives. Prepares correspondence, reports, presentations, and other official documents; maintains confidentiality of sensitive student and institutional information. Serves as a primary administrative contact and liaison with other campus offices, vendors, and stakeholders regarding operational and enrollment-related matters. Organizes meetings, information sessions, and special events, including support for Graduation ceremonies; coordinates logistics, prepares materials, records meeting minutes, and tracks follow-up items. Supports Admissions & Records, Student Help Center, and Enrollment Management operations, including assisting with front counter coverage, processing documents, routing escalated inquiries, and ensuring smooth workflow. Enters, edits, retrieves, and analyzes data; prepares periodic and special reports related to enrollment, office operations, and departmental performance. Oversees and monitors departmental budgets and office accounts; processes purchasing, travel, payroll documentation, and reconciliations in accordance with College procedures. Maintains organized record-keeping systems in compliance with institutional policies and applicable regulations. Performs other duties of a similar nature or level as assigned.Physical Requirements: Positions in this class typically require: stooping, crouching, reaching, standing, walking, fingering, talking, hearing, seeing and repetitive motions. Medium Work – Exerting 20 to 50 pounds of force occasionally, and/or 10 to 25 pounds of force frequently, and/or greater than negligible up to 10 pounds of force constantly to move objects.
