Administrative Assistant

Pay Range $18.79 - $21.00 per hour

Position Summary

The Administrative Assistant serves as front desk receptionist and is the primary point of contact for Community Teamwork's Resource Center, creating a welcoming and supportive environment for all clients, visitors and staff. This role is responsible for client check-in, sorting daily mail, administrative support and ensuring seamless front desk operations across multiple agency programs.

Essential Functions and Responsibilities:

Warmly greet and direct clients entering the Resource Center

Check in clients and communicate their arrival to the appropriate staff

monitor automated voicemail systems, respond to general inquiries, route calls and messages to the appropriate person/department

Sort mail and distribute to correct mailbox

Receive incoming packages/shipments and notify the correct staff person for pick up

Securely distribute checks to designated clients according to protocol

Assist clients with basic administrative needs including copying and/or faxing documents

Collect documentation for clients and place it in correct program mailbox for pick up

Copy and stock informational packets/flyers for Resource Center display racks

Manage the booking schedule for the first-floor conference room

Track inventory for office supplies, including ink and toner and communication needs to the 1st floor Administrative Assistant

Coordinate routine maintenance requests for the fax and copy machine

Support first floor management with administrative task as assigned

Qualifications

High School diploma or equivalent

1-2 years of experience in front desk operations, reception or customer service preferred

Understanding of low-income population needs

Customer Service skills should include strong verbal and written communication with a client-focused compassionate demeanor

Experience with multi-line phone systems, standard office machinery (copiers, fax machines) basic scheduling tools and Microsoft Office

High attention to detail, strong time-management skills and the ability to multi-task in a busy walk-in environment

Ability to handle sensitive client information with strict confidentiality and professionalism

Bilingual/ Spanish required

Ability to pass background check.

The base salary range represents the Agency's good-faith estimate of the compensation for this role at the time of posting. Actual compensation within the range will be based on factors such as experience, skills, and qualifications.
