Administrative AssistantFederal Realty is seeking an Administrative Assistant to provide administrative support and front desk coverage at our regional office in El Segundo, California. The ideal candidate will possess strong interpersonal and customer service skills, exceptional organizational abilities, and the initiative to work independently in a fast-paced environment.ResponsibilitiesProvide a high level of customer service to the various departments in the El Segundo officePerform general office administrative support functions to include: data entry, word processing, and report generationPrepare and follow up on contracts and work orders for the Development, Leasing, and Operations teams to include: executing contracts, preparing and reviewing vendor set up forms, and uploading and coding invoices in NexusPerform front desk duties to include welcoming guestsPrepare and process expense reportsAssist other departments with special projects, scheduling of meetings, and eventsOrder all office and kitchen supplies and with kitchen duties, including restocking of beverage machines and kitchen suppliesArrange for service, as needed, including copier machines, etc.Handle all incoming mail and distribute appropriatelyOther duties and responsibilities as assignedQualificationsMust have a high school diploma, some college preferred2+ years' experience in an office support roleProficiency in Microsoft Word, Excel, and OutlookExperience processing expense reports preferredDemonstrated strong verbal and written communication and interpersonal skillsStrong attention to detailExcellent organizational and time management skillsHighly dependable with demonstrated ability to plan and scheduleProblem solving and basic troubleshooting skillsMust be comfortable standing and lifting up to 30 poundsWorking knowledge of office machines including scanners, voicemail systems, and copiersFlexibility and the ability to prioritize new tasks as they come inTeam player who can also work independentlyWork Schedule: This is a full-time, in-office position with a schedule of Monday through Friday, 8:00am to 5:00pm.Salary Range: The typical total cash compensation range for this role is $58,000–$70,000 per year, inclusive of base salary and any applicable bonus.
