Administrative AssistantMcGuireWoods Consulting (MWC) is seeking an Administrative Assistant located in our Richmond office. This role provides comprehensive administrative support to a team of timekeepers, including managing schedules, coordinating meetings, booking travel, processing expenses, and performing time entry on both the legal and consulting sides of the business. The ideal candidate will possess a high attention to detail, excellent organizational and multi-tasking skills, and the confidence to communicate directly with timekeepers to ensure deadlines are met and billing is completed on time. A proactive mindset and the ability to quickly adapt to each timekeeper's individual work style are essential for success in this position. This role requires the candidate to work in our office five days a week, offering a dynamic and collaborative work environment.ResponsibilitiesSupport timekeepers with scheduling, calendaring, and meeting coordinationFollow up with timekeepers to ensure timely billingPerform time entry on both legal and consulting sidesHighly organized, detail-oriented, proactive, and able to prioritize across multiple tasksBook travel, conference registration, and arrange appointmentsProcess expense-related items (invoices, reimbursements, check requests) using Chrome RiverDraft correspondence and documents in proper format; manage incoming/outgoing mail and secure document retentionPerform research and general administrative duties (copying, scanning, faxing) as requestedAssist with office functions, events, and support other staff as neededQualificationsBachelor's degree preferred and a minimum of two years of administrative experience; or equivalent combination of education and experienceAbility to work independently and as part of a teamAbility to think clearly, react positively, and evaluate situations to determine appropriate action under pressureAble to quickly learn new methods and technologiesProficient in Excel, Word, PowerPoint, and CanvaExcellent communication, proofreading, and editing skillsStrong planning and organizational skillsAbility to handle multiple tasks simultaneouslyAbility to maintain confidentialityInterest in using innovative AI technology, including Harvey and Copilot, to support efficient, high-impact work.
