Administrative Assistant / ReceptionistThe Administrative Assistant / Receptionist provides high-level administrative and front desk support to ensure the smooth operation of the office. This role manages information and communication flows, conducts basic research, handles information requests, and performs a variety of clerical and bookkeeping tasks. The position serves as a central point of contact for internal and external inquiries, supporting daily office functions with accuracy, professionalism, and confidentiality.ResponsibilitiesPerform general office duties, including ordering office supplies and maintaining adequate inventory levels.Maintain records management systems to ensure documents are organized, accessible, and up to date.Perform basic bookkeeping tasks as required to support office and financial operations.Prepare invoices, reports, memos, letters, financial statements, and other business documents with a high level of accuracy.File and retrieve corporate documents, records, and reports in accordance with established procedures.Open, sort, and distribute incoming correspondence, including physical mail, faxes, and emails, in a timely manner.Prepare responses to routine correspondence and inquiries, ensuring clear, professional communication.Act as an information and communication manager for the office by routing messages and information to the appropriate parties.Handle information requests from internal staff and external contacts with professionalism and discretion.Conduct basic research as needed to support administrative and executive tasks.Support front desk and reception activities by greeting visitors and directing them appropriately, as required.Essential SkillsStrong verbal and written communication skills to prepare documents and interact with colleagues and visitors.Ability to multi-task and prioritize work in a busy office environment.Customer service skills to provide a professional and welcoming experience for internal and external contacts.Interpersonal skills to build effective working relationships across the organization.Ability to work independently and manage time effectively with minimal supervision.Ability to keep information organized and maintain confidentiality of sensitive documents and communications.Previous experience using computer applications such as Microsoft Word, Excel, and PowerPoint.High school diploma or GED.02 years of experience in administrative support, administrative assistance, or front desk roles.Additional Skills & QualificationsExperience providing administrative support to executives or senior leaders is beneficial.Background in front desk or reception work is an advantage.Comfort with preparing financial statements and basic financial documents is helpful.Familiarity with records management systems and document filing procedures is preferred.Ability to adapt to changing priorities and support various office functions as needed.Work EnvironmentThis role operates in a professional office environment with a front desk and reception area. The Administrative Assistant / Receptionist works primarily on a computer using Microsoft Word, Excel, PowerPoint, and email systems, and regularly handles physical documents, mail, and office supplies. The position involves regular interaction with staff, visitors, and external contacts, requiring a professional demeanor and appearance. Work is typically performed during standard office hours, with a focus on maintaining an organized, efficient, and responsive administrative and reception area.Job Type & LocationThis is a Contract position based out of Miami, FL.Pay and BenefitsThe pay range for this position is $21.00 - $22.00/hr.Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
