Administrative Assistant: Risk DepartmentWe are looking for an Administrative Assistant who has a passion for quality construction. This position is responsible for providing broad clerical and administrative support to Risk Department.What You'll DoProvide general clerical and administrative support to all Risk Department functions, including insurance and subcontract administrationAssist with data entry and maintenance of department trackers, logs, and databases for certificates of insurance and subcontractsPrepare, organize, and distribute documents for signature and execution, including subcontracts, certificates, and license applicationsMaintain both physical and electronic department records, ensuring documents are accurately labeled and easily retrievableMonitor upcoming renewal, expiration, and audit deadlines for licenses, insurance certificates, and notify the appropriate administratorAssist in gathering documentation from subcontractors and vendors to support subcontract, insurance, and Avetta compliance requirementsRespond to routine inquiries, routing calls and emails to the appropriate department team memberPrepare correspondence, reports, spreadsheets, and basic presentations as directed by department staffProvide backup administrative coverage for department staff during periods of absenceSupport special projects, audits, and process improvement initiatives as assignedOther duties as assignedWhat You'll BringBasic knowledge of general office procedures and practicesStrong attention to detail and organizational skillsDemonstrated ability in multi-tasking, prioritizing, and data entryAbility to anticipate and meet the needs of internal and external customers, and respond promptly to support operational needsAbility to work independently, follow instructions, and meet deadlinesAbility to maintain confidentiality of sensitive department informationProven communication, organizational, and interpersonal skillsBasic computer skills, including proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe AcrobatWillingness to learn insurance, licensing, and subcontract terminology and processesHigh School Diploma or Equivalent (Education beyond High School preferred)1-3 years of general office or administrative support experience preferred; on-the-job training providedEquivalent combination of education and experience that demonstrates the ability to perform the key responsibilities of this positionWhat You'll Get401(k) with company match (Traditional & Roth)Paid Holidays and PTOMedical, Dental, and VisionFlexible Spending AccountsHealth Savings AccountAccident InsuranceHospital Indemnity InsuranceCritical Illness InsuranceLifeLock Identity Theft ProtectionEmployee DiscountsShort-Term & Long-Term DisabilityFor more benefit details click here!
