Administrative AssistantTallahassee, FLCandidate Responsibilities:Providing administrative support to the Chief of Medical ServicesAssist with daily administrative operations in the Division of Children's Medical Services as directed by the DepartmentAnswer and re-direct calls on a multi-line phone system as directed by the DepartmentSort and distribute (internal and external) mail as directed by the DepartmentGreet and assist visitors in finding the correct destination as directed by the DepartmentEnsures compliance with DOH policies and proceduresAssists the Bureau Chief in coordinating daily operational functions within the DivisionCoordinates, reviews, edits, and formats outgoing correspondenceDrafts, formats, and completes routine memos and letters within established timeframesCoordinates travel arrangements, prepares itineraries, prepares, and submits travel reimbursements for the CMS Plan staffCoordinates meeting, including the scheduling of meeting rooms, preparation of agendas, materialsCoordinates and makes arrangements pertaining to conference callsAttends staff and other meetings as required
