Since 1976, Relámpago del Cielo has proudly served the Santa Ana and Orange County community by providing educational programming to more than 300 students, supporting community cultural events, collaborating with schools and educational partners, and preserving the rich traditions of Mexican performing arts for future generations. We are a growing organization that values flexibility, teamwork, cultural preservation, and creating a positive impact in the communities we serve.The Administrative & Finance Assistant provides administrative, financial, and operational support to help ensure the organization's daily operations run efficiently. This role supports student enrollment, tuition collection, accounts receivable/payable, bookkeeping assistance, payroll support, parent communication, customer service, and general office administration. Reporting to the Office Manager, this position works closely with parents, teachers, students, and internal staff. The ideal candidate is organized, detail-oriented, professional, and comfortable managing multiple responsibilities within a fast-paced nonprofit environment while exercising strong independent judgment and initiative.Key responsibilities include:Support daily office operations and administrative functionsAssist with student enrollment, registration, and maintaining accurate student recordsCommunicate with parents regarding enrollment and tuition-related questionsAnswer incoming calls and provide professional customer serviceMaintain organized electronic and physical recordsSupport leadership and assist with additional operational needs as assigned.Finance & Bookkeeping Support:Process tuition payments and maintain accurate payment recordsCollect, count, reconcile, and securely document cash payments and depositsSupport Accounts Receivable (AR) and Accounts Payable (AP) functionsProcess invoices, receipts, and payment documentationEnter financial transactions into QuickBooks Online while maintaining confidentiality of financial recordsReconcile student enrollment records, tuition payments, and monthly account balancesAssist with monthly reconciliation of financial records and account discrepanciesCompile financial data and assist with preparing monthly income and expense reports for leadershipEnsure tuition accounts remain current and follow up on outstanding payment balances when needed.Payroll & Administrative Finance Support:Assist with employee timesheet review and payroll-related administrative supportSupport payroll processing and maintain payroll-related documentation through online payroll systemsMaintain confidentiality of employee payroll and financial information.Collaboration & Customer Service:Serve as a primary contact for parents regarding enrollment and tuition questionsWork collaboratively with teachers, families, students, and staffMaintain professional communication and strong customer service standardsSupport a positive, flexible, and team-oriented work environmentPerform additional duties as assigned based on organizational needs.Required qualifications:2 - 5 years of experience in administrative support, bookkeeping, office administration, accounting support, or finance administrationBilingual English/Spanish requiredExperience handling cash payments, receipting, payment processing, and customer financial transactions.Working knowledge of Accounts Receivable (AR) and Accounts Payable (AP)Basic understanding of accounting principles, bookkeeping procedures, and financial recordkeepingExperience with bookkeeping functions preferredExperience processing employee timesheets, payroll support, or online payroll systems preferredExperience using QuickBooks Online strongly preferredStrong customer service, communication, and organizational skillsAbility to manage confidential information with professionalismStrong proficiency with Microsoft Office Suite (Excel, Outlook, Word)Strong attention to detail, problem-solving ability, and financial accuracyAbility to prioritize multiple responsibilities, meet deadlines, and work with minimal supervision in a fast-paced environmentAbility to work independently while collaborating within a team environmentWork schedule:Part-Time Position – Approximately 20 hours per weekRequired in-person availability for 3 Saturdays per month (8:30 AM – 12:30 PM) for program and operational supportAdditional weekday hours scheduled based on operational needs.Physical requirements:Sitting for extended periods while performing computer and administrative workStanding, walking, bending, reaching, and filing throughout the workdayFrequent use of computers, phones, printers, and office equipmentLifting or carrying office materials and supplies up to 25 poundsFrequent communication with parents, staff, and community membersWorking in a standard office environment with regular interruptions and multitasking responsibilitiesHow to apply: Interested candidates should submit a resume and cover letter to with the subject line "Administrative & Finance Assistant_RDCI".
