Incumbents assigned to this class provide more advanced transaction processing involving basic research, verification, reconciliation and mathematical calculations, as well as respond to internal and external customer questions and inquiries by communicating standard policies and procedures. Incumbents may be assigned to confidential positions or handle confidential materials. An incumbent is responsible for providing administrative support to staff, projects and/or an office or field function including processing more complex financial and service-related transactions and monitoring their status; processing customer-related transactions such as service requests, registrations and/or cash-handling; preparing documents, reports and presentations; entering and retrieving data; and ensuring the accuracy of information contained in databases and systems.Duties/ResponsibilitiesLeads front desk staff, assists customers with registration and check-ins, responds to inquiries. Develops and employs a strong knowledge of recreation software systems to perform a variety of functions, trains others on systems and procedures. Maintains responsibility for site record keeping and responds to information requests. Assists with staff scheduling, program scheduling, communications, and waitlist coordination. Addresses or refers escalated customer issues and requests. Assists with hiring by scheduling interviews, contacting references, and compiling documentation.Receives, prepares, processes and verifies transactions including calculating and providing refunds and recording and submitting financial documentation such as invoices, bank deposits, credit card expenses, travel authorizations and/or purchasing requisitions; or processes and assigns service work orders.Enters data for reports, databases, work orders, payroll and/or tracking information; retrieves and compiles data.Monitors transactions for progress and performs research as required.Prepares and produces documents, reports and/or presentations from verbal information and/or written drafts; provides general administrative support to staff and/or projects.Receives, processes and routes calls, which may include dispatching calls for service, as assigned.Updates web pages, as assigned.Opens, logs and distributes mail.Minimum Qualifications & ExperienceHigh School Diploma or equivalent (GED, HiSet, TASC)Three years of related clerical/administrative support experienceBenefitsBenefits – General Full-Time Employees12-13 paid holidays per year13 standard work days of vacation per year13 standard work days of sick leave per year, which accumulates indefinitely; sick leave may be used toward early retirement2 weeks paid military leave per yearMedical, dental, vision, and supplemental life insurance plansState and City retirement plansShort and long term disability plansPaid temporary disability leave for specified conditionsCity contribution of 13.6% into the N.C.
