nThe Administrator, Flight Services provides operational, administrative, and logistical support to the corporate aviation department. This role helps ensure aircraft readiness, manages inventory and supplies, coordinates passenger and crew support services, processes vendor invoices, maintains department records, and provides backup support for flight scheduling activities.

nThe ideal candidate is detail oriented, highly organized, proactive, customer-focused, and comfortable working independently in both office and hangar environments. This individual takes ownership of responsibilities, manages competing priorities, and contributes to a seamless experience for passengers, crew members, and vendors.

nPrimary Responsibilities:

nFlight Services and Operational Support

nnnCoordinate catering and other flight-related support arrangements

n

nnServe as a liaison among flight crews, vendors, service providers, and internal stakeholders

n

nnOccasionally work with executive assistants to coordinate menu choices

n

nnSupport passenger service initiatives and help maintain a professional, high-quality travel experience

n

nnProvide occasional early morning or evening coverage when last-minute schedule changes occur

n

n nInventory and Aircraft Readiness

nnnOversee ordering, stocking, organization, and replenishment of aircraft and hangar supplies

n

nnMonitor inventory levels and maintain appropriate stock to support aircraft readiness

n

nnConduct routine inventory reviews and remove expired or obsolete items promptly

n

nnMaintain accurate inventory records and implement practical tracking tools using spreadsheets, applications, or other lightweight systems

n

nnCoordinate supply purchases and work with vendors to ensure timely delivery of required materials

n

n nAdministrative and Financial Support

nnnProcess, track, and maintain documentation for departmental invoices and expenses

n

nnReconcile invoices and work with vendors to resolve billing discrepancies, credits, or rebills

n

nnMaintain vendor records, purchasing documentation, expense files, and operational reports

n

nnPrepare correspondence, spreadsheets, reports, and other department documentation

n

nnProvide administrative support to flight department leadership, including special projects and additional duties as assigned

n

n nSystems, Records, and Scheduling Support

nnnProvide backup support for flight scheduling functions during planned absences or vacations

n

nnMaintain department records, scheduling data, operational databases, and electronic file systems with a focus on accuracy and data integrity

n

nnAssist with scheduling-related communications and coordination among flight crews, passengers, vendors, and internal partners

n

nnIdentify opportunities to improve organization, accountability, workflow efficiency, and process consistency

n

nRequired Qualifications:

nnnHigh school diploma or equivalent

n

nn3+ years of experience in administrative support, operations coordination, aviation support, hospitality, travel services, inventory management, or a related field

n

nnSolid proficiency with Microsoft Office applications, including Outlook, Excel, Word, PowerPoint, and Teams

n

nnProven solid computer skills and the ability to learn new systems and technologies

n

nnProven excellent organizational, planning, time-management, written communication, and verbal communication skills

n

nnDemonstrated attention to detail, reliability, initiative, and accountability

n

nnAbility to work independently, prioritize multiple responsibilities, and follow through with limited supervision

n

nnAbility to lift and move boxes and supplies as needed

n

nnAbility to work in a hangar environment, including exposure to seasonal temperature variations

n

nnDriver's License and access to reliable transportation

n

nnAbility to safely operate a small cargo van for work-related transportation and deliveries, including maintaining a valid driver's license and meeting applicable company driving requirements.

n

n nPreferred Qualifications:

nnnExperience supporting corporate aviation, executive travel, private aviation, transportation, or flight operations

n

nnFlight attendant, aviation scheduling, dispatch, FBO, executive support, hospitality, or concierge experience

n

nnExperience coordinating catering, ground transportation, accommodations, aircraft services, or travel logistics

n

nnExperience processing invoices, tracking expenses, reconciling vendor charges, and supporting vendor relationshipsExperience with inventory management, supply tracking, purchasing processes, SharePoint, scheduling systems, or operational databasesExperience supporting senior leaders or executive-level customers

n nPay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $24.00 to $43.00 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
