SUMMARY
The Advancement Reporting & Analytics Manager is the reporting, data-analysis, and data-process lead within Institutional Advancement (IA). This position owns the fundraising data that development leadership relies on to make decisions: designing and building reports and dashboards in Salesforce NPSP, translating strategic questions into the queries that answer them, helping design the processes that produce reliable data, and safeguarding the integrity of gift, opportunity, and constituent data. Beyond decision-making, this role produces the data that helps execute and evaluate our core fundraising programs, from appeals and campaigns to donor renewal and pipeline development.
The role collaborates heavily within the IA team and with the Salesforce Administrator, who owns system configuration, and with the Accounting Department to ensure gifts are recorded, reconciled, and accurately transferred between the fundraising and financial systems. This is an analytics-forward, individual-contributor role that operates with a high degree of independent judgment and reports to the Director of Advancement Services.
ESSENTIAL FUNCTIONS
Design, build, and maintain complex regular and ad hoc reports and dashboards in Salesforce to support fundraising strategy, moves management, and leadership decision-making
Translate the information needs of development leadership and team leads into well-specified data requirements, queries, and reporting deliverables that advance fundraising goals
Partner with program leads to produce the segmentation, targeting, and performance data their fundraising programs depend on, from audience definition through results
Partner with the Director of Advancement Services and colleagues across IA to design, document, and improve business processes, translating operational needs into clear workflows, data requirements, and reporting solutions
Own advancement data quality: conduct regular audits of gift, pledge, opportunity, and constituent data for accuracy, completeness, and anomalies; partner with the gift processor to resolve discrepancies
Reconcile gifts and pledges with the Accounting Department on a regular schedule and serve as the advancement data liaison during financial audits
Partner with the Salesforce Administrator to specify configuration changes that reporting and analysis require; define the need, and collaborate on implementation rather than owning system build
Format, manage, and execute bulk data imports and updates within the CRM
Maintain and enforce data standards and governance across campaign structure, funding categories, and opportunity coding, in alignment with CASE reporting standards and IRS contribution requirements
Collaborate with the Digital Marketing team on segmented reporting and list generation through Salesforce Marketing Cloud, and troubleshoot data issues when they arise
Manage the reporting production schedule to ensure timely delivery of reports and fulfillment of data requests within Institutional Advancement
Actively participate as an integrated member of the IA team; attend donor events and museum activities that support fundraising priorities, such as the annual fundraising gala
Perform additional duties as assigned
MINIMUM QUALIFICATIONS
BA/BS degree or an equivalent combination of education and experience
Three to four years of experience in a development or advancement environment, including experience producing reporting and analysis from an integrated CRM
Experience building reports and dashboards in Salesforce (NPSP or Nonprofit Cloud strongly preferred; or an equivalent CRM such as Blackbaud Raiser's Edge considered), with the ability to grow into complex query and analysis work
Prior experience in an advancement operation aligned to CASE Global Reporting Standards, supporting major-gift fundraising and portfolio/pipeline management (moves management); working knowledge of the opportunity/solicitation lifecycle, campaign and appeal structure, and fund accounting basics
Strong knowledge of fundraising best practices and IRS contribution regulations and reporting requirements
Comfortable with reconciliation processes between multiple financial data sources
Advanced skill with data tools: Microsoft Excel and Google Sheets; experience with bulk data operations (e.g., Data Loader) a strong plus
Demonstrated curiosity and analytical problem-solving skills, with the ability to identify anomalies, investigate underlying causes, and work independently toward practical solutions
Excellent organization and planning skills, including the ability to prioritize and multi-task
Well-rounded communication skills; able to explain data and its meaning clearly to both technical and non-technical colleagues
Skilled at working collaboratively within IA and across museum teams
Ability to exercise judgment and maintain confidentiality
PREFERRED QUALIFICATIONS
Familiarity with Salesforce report types, SOQL, and data architecture concepts sufficient to partner effectively with a system administrator
Experience with audience segmentation/grouping to drive marketing/communication efforts and JIRA or similar project-management tools
Interest in or exposure to applying AI and automation tools in a data or fundraising context
