Job description

Billing SpecialistIMEG is hiring a Billing Specialist to join our Finance & Accounting Team. In this role, you will serve as the primary liaison between assigned teams and the Accounting Department, while building working relationships with Client Execs and other key team members. This position has primary responsibility for team billing and accounts receivable monitoring, along with project setup, client communication, timesheet and expense review, and sub consultant invoice processing. You will help keep commercial and financial workflows accurate, timely, and well coordinated across the teams you support.At a Glance Discipline: Finance & Accounting Ownership: 100% employee-owned (ESOP) Travel: Up to 10% Work Schedule: Full-time hybrid Sponsorship: Not availableWhat You'll DoAssist with project initiation and setup in Vision, ensuring commercial contract terms and contacts are accurateReview new project contracts for unusual terms or structures that may affect billingsRequest billing information from team members and review it for accuracy and completenessPrepare monthly client billings for team projects, reviewing for accuracy and completenessMonitor team accounts receivable and follow up with team members and/or clients on unpaid amountsManage communication and correspondence with clients regarding commercial mattersDevelop professional working relationships with Client Execs and other assigned team membersReview and approve timesheets and expense reports for team membersEnter sub consultant invoices, track payment terms, and approve invoices for payment when dueMeet with assigned teams at their primary office location at least two times a yearMaintain confidentiality of all corporate, personnel and project/client related materialWhat You'll BringEducation and Experience2-year post-high school educationExperience in the engineering and/or the construction industry is preferredPrior billing experience and knowledge of Deltek-Vantagepoint or similar software is preferred but not requiredSkills and AbilitiesStrong interpersonal skillsStrong bookkeeping backgroundHas customer service abilities and attitudeGeneral understanding of electronic billingAbility to read contracts and follow contract requirements regarding commercial termsStrong attention to detail and organizational skillsAble to adapt to a fast-paced environmentProficient in Microsoft and MS Office Suite including but not limited to Word, Excel, and OutlookAbility to travel up to 10% with occasional overnight staysAbout the TeamFinance and accounting teams supporting a 100% employee-owned firm with 100+ offices nationwideSuccessfully implemented Robotic Process Automation (RPA) to streamline accounts payable processes, improving efficiency and accuracyPartner directly with project teams and leadership on budgets, forecasting, and reportingBroad exposure across a national professional-services business, from project accounting to corporate financeA collaborative culture where finance is a true business partner, not a back officeWhy IMEG We put people at the center of who we are, creating positive outcomes for people, communities, and our planet.Employee ownership (ESOP), fully vested at all times, with a 3% to 6% company contribution, plus year-end profit sharingWork that scales: support employees across 100+ offices nationwideDress for Your Day flexibility (wear what fits your day)Generous time off, including 6 paid holidays and 3 additional floating holidaysMedical, dental, and vision coverage starting day one, with preventive care at 100%, a $50/month wellness credit, and a Calm subscriptionMEG, our in-house AI platform, helps employees find information and build agents that streamline project workflows and calculationsState of Virginia Pay Range: $27.00–$30.00 per hour
