This is the seat that keeps the money right, the people supported, and the building running at the same standard our team holds in the field. You will own the books from top to bottom: accounts payable, accounts receivable, reconciliations, payroll, and the month end close, with our CPA in your corner. You will partner with our Service Coordinator and Project Managers on job costing so every job tells the truth about what it made. Beyond the numbers, you will run onboarding and HR administration, coordinate our IT and technology, and keep the office organized, stocked, and running smoothly every single day.CSMT is not a typical HVAC company. If you're looking for a company that values excellence, integrity, and the pursuit of being the best, CSMT is the place for you.Key Responsibilities:Accounting and Month End Close:Own accounts payable: enter and code vendor bills, manage payment schedules, and keep vendor relationships in good standing.Own accounts receivable: invoice accurately and on time, track aging, and drive collections so cash keeps moving.Reconcile all bank, credit card, and loan accounts every month with zero unexplained variances.Own the month end close in QuickBooks Online on a consistent, on time schedule, with our CPA providing oversight and support.Prepare monthly financial reports for ownership, including the P and L, balance sheet, AR aging, and AP aging.Maintain a clean, accurate general ledger and chart of accounts.Keep ServiceTitan and QuickBooks Online in sync so invoices, payments, and job data match across both systems.Support year end, tax preparation, and any financial reviews with organized, complete documentation.Payroll:Process bi-weekly payroll accurately and on time through ServiceTitan and QuickBooks Online.Review timesheets, commissions, bonuses, and performance pay for accuracy before every payroll run.Maintain payroll records, tax filings, and deductions in coordination with our CPA.Job Costing:Partner with the Service Coordinator and Project Managers to track labor, materials, equipment, and subcontractor costs on every job.Make sure job costs are recorded correctly and on time so gross profit by job is accurate and trustworthy.Flag cost overruns, missing costs, and margin issues to ownership quickly so problems get fixed while they are small.HR and Onboarding:Own the new hire onboarding process: offer paperwork, I-9s, W-4s, direct deposit, benefits enrollment, and day one readiness.Maintain organized, confidential employee files and personnel records.Administer benefits enrollment, changes, and communication with carriers.Track PTO, paid holidays, and attendance records.Support ownership with HR documentation, policy updates, and employee questions.Keep the company current on Montana and federal employment postings and recordkeeping requirements.IT Coordination:Serve as the point of contact for our outside IT support and technology vendors.Manage user accounts, software licenses, and system access for ServiceTitan, QuickBooks Online, email, and other company tools, including setup for new hires and shutoff for departures.Keep company computers, phones, tablets, printers, and office technology tracked, working, and ready.Office Management:Run the front office with energy, professionalism, and a warm welcome for every customer, vendor, and team member who walks through the door.Keep the office organized, clean, stocked, and running smoothly.Manage office vendors, subscriptions, insurance certificates, and business license renewals.Coordinate company events, team celebrations, and Employee Recognition Program activities.Build and document SOPs for every recurring office and accounting process so the work is repeatable and scalable.Leadership and Accountability:Report to ownership with clear, timely updates on cash position, AR, AP, payroll, and office priorities.Take full ownership of the accuracy of our books and the readiness of our office.Handle confidential financial and employee information with integrity and discretion.Represent CSMT with professionalism, integrity, and a commitment to setting the standard in HVAC.Qualifications:3+ years of full charge bookkeeping experience, including month end close, AR, AP, and reconciliations.Payroll processing experience required, including commissions and bonuses.Construction, trades, or home services accounting experience strongly preferred, especially job costing.Advanced proficiency in QuickBooks Online. QuickBooks ProAdvisor certification is a plus.ServiceTitan experience is a strong plus, or a proven ability to learn new software quickly.Experience with onboarding, benefits administration, and HR recordkeeping.Comfortable coordinating IT vendors, user accounts, and everyday office technology.Strong Microsoft Excel skills.High energy, positive attitude, and a people first presence that lifts the whole office.Exceptional attention to detail with a process driven mindset and documentation discipline.Proven ability to keep confidential information confidential.Organized, dependable, self-motivated, and solutions focused.Able to work full time, in office, Monday through Friday in Bozeman.Benefits & Culture:$65,000 to $85,000 annual salary, dependent on experience plus bonus and incentive payCompany provided computer.Medical.Dental, Vision, Accident Insurance are also available.401K Plan.Continued education.Opportunity for advancement.Paid holidays after one year of employment.Paid vacation time.Our family of employees participate in hunting trips, camping trips, BBQ's and other fun activities throughout the year.Employee Recognition Program that provides bonuses and / or paid time off when employees provide exceptional service to the company and our customers.
