American Estate & Trust | Las Vegas, NV (On-site, 6900 Westcliff Dr) | Full-time | $65K plus discretionary bonus

About AET

American Estate & Trust is a Nevada-chartered trust company and IRS-approved nonbank trustee specializing in self-directed IRA custody for alternative assets. Since 2007, we’ve grown to roughly $2.5B in assets under custody for more than 20,000 investors, serving RIAs, family offices, fintech platforms, and deal sponsors through our investor portal, business portal, and API. We’re SOC audited and supervised by the Nevada Financial Institutions Division. We run a small operating team for a firm of our scale, so people here wear several hats well.

The role

We’re looking for a detail-driven bookkeeper who also enjoys operational and legal-admin work. You’ll anchor the firm’s day-to-day bookkeeping and take on a rotating mix of projects. You’ll report to the Chief Operating Officer, with a dotted line to the Accounting Lead.

This isn’t a “do one thing every day” role. If you like closing the books cleanly and then turning to a different kind of problem in the afternoon, you’ll fit right in.

What you’ll own

Bookkeeping (roughly half your time)

Daily and weekly entries, reconciliations, and AP/AR support

Month-end close, including bank and credit card reconciliations, accruals, and journal entries

Audit-trail upkeep for our SOC audits

Operational projects (roughly a third)

Process execution and data entry across systems as we integrate new lines of business

IRS EIN applications and state registrations for new entities

401(k) account onboarding paperwork using documented playbooks

Documenting and refining workflows, turning unwritten know-how into checklists

Legal and compliance admin (smaller, recurring)

Subpoena response coordination under Legal counsel’s supervision: case folder setup, document collection, redaction, Bates numbering, and production

Light corporate housekeeping under counsel’s direction

Your first 90 days

We want you to learn how we work before you own it. Your first three months move from learning, to contributing, to owning.

First 30 days: Learn the books and the business. You’ll meet the COO, Accounting Lead, Legal counsel, and Operations team. You’ll learn our chart of accounts, systems, and close calendar, shadow a full month-end close, and review our playbooks for EINs, state registrations, and 401(k) onboarding.

Days 31 to 60: Contribute with support. You’ll take over daily and weekly entries and reconciliations, run month-end reconciliations with the Accounting Lead reviewing your work, and complete your first EIN applications, registrations, and onboarding files.

Days 61 to 90: Own your lane. By day 90, you’ll run month-end reconciliations independently, handle routine operational requests end to end, and deliver your first written checklist for a workflow that wasn’t documented before.

What success looks like in year one

Clean, on-time month-end closes with reconciliations that tie out

Audit-ready records with no SOC findings tied to bookkeeping

EINs, registrations, and onboarding paperwork completed accurately and on time

Subpoena productions that are complete, properly redacted, and delivered on schedule

A growing library of checklists for work that used to live in people’s heads

A trusted teammate across Accounting, Operations, and Legal

What we’re looking for

Two or more years of bookkeeping experience (QuickBooks, NetSuite, or similar)

Comfort with reconciliations, journal entries, and month-end close

Exceptional attention to detail with sensitive documents, including financial records, legal correspondence, and IRS filings

Discretion; you’ll see customer financial data and legal correspondence daily

Comfort with ambiguity, and the judgment to move forward with incomplete information while asking the right questions

The temperament to switch between routine and ambiguous work without losing accuracy

Strong written communication and a clean paper trail by instinct

Adobe Acrobat fluency (redaction, Bates numbering) or willingness to learn quickly

Experience in financial services, trust or custody, banking, brokerage, or RIA is a plus

Prior legal-admin exposure (subpoena response, e-discovery intake, paralegal-adjacent work) is a plus

IRS or Secretary of State filing experience (EINs, foreign qualifications, annual reports) is a plus

Familiarity with self-directed IRAs or alternative asset custody is a plus

Regular use of Claude or similar AI tools to work faster and more accurately is a plus

Benefits

$65K base salary plus a discretionary bonus

10 days of paid time off

5 sick days

Health insurance

Dental insurance
