Consortium Operations SpecialistAquifer's goal is to empower learners to become the clinicians they imagined themselves to be through online education that serves to dramatically lower the cost of health professions education. More than 70,000 students complete over 1,000,000 Aquifer cases annually.The Consortium Operations Specialist provides crucial support for Aquifer's network of 200+ health professions educators. This position assists with managing Consortium activities while supporting curriculum development processes. Reporting to the Manager, Consortium Operations & National Partnerships, this role supports all Consortium operations, acts as the key liaison for all integrated curriculum development activities and maintains effective communication across a complex integrated infrastructure of volunteer educators. While primarily a remote position, this position requires in-person responsibilities and travel at the discretion of the Chief Learning Officer and Manager, Consortium Operations & National Partnerships.Key ResponsibilitiesConsortium Operations SupportCoordinate and attend all monthly remote working meetings and activities for Consortium Course Boards, cross-Board teams and affinity groups; maintain meeting attendance and volunteer satisfaction tracking systems and provide monthly progress reporting. Update cross-board communications monthly.Onboard new Consortium members.Responsible for the development and distribution of Consortium newsletters and updatesEvent CoordinationManage schedules, travel arrangements and expense reporting for Aquifer staff attending national meetings, and for Aquifer staff and Consortium member attendance at Wellspring.Coordinate Aquifer's presence at national health professions education conferences, including packing and shipping/receiving the exhibit booth and marketing materials.Coordinate logistics for all Consortium national meetings and events, including agenda development, scheduling, catering & room reservations, and follow-up.Support the Chief Learning Officer and Manager, Consortium Operations and National Partnerships in all aspects of planning and execution of Wellspring, Aquifer's Annual Meeting.Attend remote events, as required, to set up and assist in facilitating Consortium meetings and support Aquifer booth activities.Administrative SupportDevelop, implement, maintain and continuously improve Consortium Operations SOPs, leveraging AI and other tools as appropriate.Provide detailed expense tracking for all Consortium and national partnership activities, conferences and events.Track and report Consortium operations and feedback and metrics reporting to the Manager of Consortium and Partnership OperationsDevelop and disseminate all Consortium and contributor contracts annuallyResponsible for maintaining detailed and accurate records of Consortium membership, contacts, and contracts.Collaborate with Aquifer staff accountant to process Consortium contracts and honoraria, and other required administrative documentation.Assist the Chief Learning Officer's communications, and administrative needsSupport Consortium-related projects as required, including submission of the New Idea Sheet, as well as support for submitting conference proposals.Write and distribute Letters of Acknowledgement for consortium and contributor staff.Track and report consortium and contributor publications, presentations, and accomplishmentsQualificationsBachelor's degree required; degree in education, health care administration, or related field preferred2-4 years of experience in program coordination, preferably in higher education or health careStrong organizational, project management, and time management skillsExcellent communication and interpersonal abilitiesProficiency with Google Suite, virtual meeting platforms (e.g., Zoom) and project management (e.g., Monday,) toolsAbility to work effectively with subject matter experts and diverse stakeholdersDetail-oriented with the ability to multitask in a dynamic environmentAquifer's Core ValuesLive the Aquifer non-profit mission — feel the need, create the future, evaluate the impactCollaborate wholeheartedly — be proactive and agile, seek first to understand, play well togetherKeep your promises — get stuff done and deliver on time, finish what you started, own the responsibilityDo the right thing — remember the Golden Rule, put the client first, embrace transparencyBe bold and fierce — attack the opportunity, show your grit, manage your fearStrive for excellence — make your A-game your everyday game, know your stuff, stretch a lotEnjoy the journey — take the work seriously and yourself less so, go far together, be wellEmbrace Learning and Growth — be curious, cultivate and contribute knowledge, experiment, fail and adapt
