Construction Billing & AIA Billing Specialist
Location: Naples, FL

Position Overview
We are seeking an experienced Construction Billing & AIA Billing Specialist to manage the billing process for construction projects from invoice preparation through payment collection. This position will work closely with contractors, project managers, subcontractors, and internal teams to ensure accurate, timely, and complete billing.
The ideal candidate is organized, detail-oriented, comfortable communicating with contractors, and understands the unique requirements of construction billing and AIA payment applications .
Key Responsibilities
Prepare and submit AIA billing/payment applications and construction invoices
Coordinate with contractors and project managers to gather required billing information and supporting documentation
Follow up with contractors to ensure invoices are completed and submitted on time
Review billing for accuracy, completeness, contract requirements, and proper documentation
Track outstanding invoices and monitor accounts receivable
Perform collections and payment follow-up on past-due accounts
Communicate professionally with contractors and customers regarding billing questions, discrepancies, and payment status
Maintain accurate billing records and documentation
Track change orders, retainage, contract amounts, and approved work as applicable
Assist with lien waivers, pay applications, and other construction-related billing documentation
Work closely with project teams to resolve billing issues and prevent payment delays
Maintain billing schedules and ensure deadlines are consistently met
Provide updates on outstanding receivables and collection activity
Assist with month-end billing and accounts receivable processes
Qualifications
Previous experience with construction billing and/or AIA billing required
Understanding of construction contracts, pay applications, retainage, and change orders
Experience working directly with general contractors, subcontractors, or construction companies
Strong collections and accounts receivable experience
Excellent attention to detail and accuracy
Strong organizational and time-management skills
Professional communication and follow-up skills
Ability to manage multiple projects and billing deadlines simultaneously
Proficiency with Microsoft Office, particularly Excel
Experience with construction accounting or ERP software is a plus
Ideal Candidate
The ideal candidate is someone who knows construction billing, isn't afraid to pick up the phone and follow up, and can keep invoices moving from preparation to payment . This person should be comfortable working independently while maintaining strong relationships with contractors and project teams.
