Join our team and see how your contributions move the needle in transforming the World.The Coordinating Assistant provides administrative support for the Location Pastor and helps manage daily operations for the location. This position is also a member of the church-wide Administrative Professional team, which develops administrative professionals across the organization with a focus on skills, cross-training, use of technological tools and cross-divisional collaboration.Position-Specific:Hours: Monday through Thursday from 9 am to 2 pm. Occasionally, you may be asked to assist with weekend or evening events, but this would be worked out in advance.Professionally represent the location and the staff team, including providing reception for guests and serving as an initial point of contact with inquiring congregants and visitors, answering questions and routing phone calls during business hours.Collaborate and submit various communications requests (including loop slides, newsletters, worship announcements, location web page and physical signage) with both Location leadership and Resurrection Experience division, including completing Resurrection Experience forms as needed.Maintain calendars for the Location Pastor and ministry team, exercising professional discretion in scheduling appointments, meetings, and events.Support operational matters related to the office and daily business, including working with the Director of Operations to support events at the location by purchasing, ordering and managing supplies as needed. (example: Blood Drives on site)Manage and prepare reimbursement requests and expense reporting for the location pastor and key volunteers.Maintain databases, registrations and surveys as needed.Provide administrative oversight for projects and events, such as making room reservations and overseeing and assisting with setup, invitations, and catering.Manage and respond to incoming correspondence. Receive, distribute and notify staff of deliveries from congregants, shipping carriers, the mailbox and the weekly courier.Manage the location baptism calendar and collaborate with the churchwide baptism coordinator, schedule 1:1 appointments with the pastor, and receive baptism certificates for the pastor to sign and give to the family.Coordinate membership events by preparing materials, sending emails, attending the event in person, and preparing a new member list for the staff for follow-up connections.Work alongside the pastor with Donor Development and Stewardship campaigns, providing administrative support as needed.Connect with and follow up on third-time visitors and fifth-time visitors.Provide funeral and wedding support as the liaison for the pastor and family.Assist as needed with facility operations, including requesting or meeting repair people and assisting the facilities staff as needed.General administrative support and other duties as assigned.Churchwide:Follow Jesus and engage in the "five essential practices" of the Christian life: worship, study, serve, give, and share.Support the church's purpose of "building a Christian community where non-religious and nominally religious people become deeply committed Christians."Exemplify the church's values and support its theological direction as a United Methodist Church.Competencies:Activating - proactively takes on new challenges and opportunities with energy and urgency.Collaborating – shares knowledge, builds partnerships and promotes a culture of thinking from the users' perspective while working across divisions to meet shared goals and objectives.Communicating – develops and delivers clear communications (verbal and written) that meet the unique needs of different audiences.Focusing on Details – pays attention to important details, avoiding errors and fine-tuning the results for maximum impact.Following Processes – gets work done as effectively and efficiently as possible by following optimal processes.Navigating the Organization – maneuvers through organizational hurdles by understanding the church's divisions and departments and their functions.Qualifications:High school diploma or equivalent is required.Professional experience of at least two years in an administrative position or customer service.Proficient in database management software such as (ROCK), Microsoft Office Suite (Outlook, Word, Excel, and Teams).Ability to learn and operate coffee grinder and machine, copier/printer, and office equipment.Strong attention to detail, as well as versatility, flexibility and willingness to adapt to changing priorities, processes and schedules.Responsible and trustworthy regarding sensitive and confidential information.Excellent interpersonal skills, both over the phone, in writing, and in person.Ability to remain calm and composed under pressure.Flexibility to adapt to changing priorities and responsibilities.A positive attitude and a genuine passion for providing exceptional service.Providing an excellent guest experience by always putting the guest first, striving for excellence and making sure everyone belongs.Work Environment: This position is located in an office setting and involves sitting at a desk for extended periods of time.Physical requirements: moderate physical activity, including the lifting, pulling or pushing of items up to 30 pounds.
