Amanda Neely is the Co-owner and Financial Architect of Counterflow, a financial services company that helps business owners and real estate investors make better financial decisions. Counterflow combines cash flow strategy, wealth building structures, and live guidance to make complex financial concepts easier to understand and act on. We're looking for a proactive, thoughtful, and highly dependable Virtual Assistant who can bring structure, clarity, and calm to a fast moving business. You'll support the Co-owner and Financial Architect by staying ahead of details, closing loops, and moving the next step forward when it's clear. You'll need the judgment to know what you can confidently handle on your own and when leadership input is truly needed, helping protect time and attention.

This role is about more than completing tasks. It's about becoming a trusted part of the business who helps protect focus, reduce friction, and create order around changing priorities. You'll help make sure every detail doesn't have to be held in one person's head, create more calm around the day to day, and keep priorities moving without constant oversight. We're looking for someone who takes ownership, follows through, and can grow into a trusted long term part of the business.
Some of your responsibilities will include:
Managing the Co-owner and Financial Architect's calendar, scheduling, and overall communication flow
Managing the shared inbox, including clearing junk, organizing messages, flagging client needs, and responding when appropriate
Monitoring texts and voicemails and making sure needed follow-up happens
Booking and confirming client appointments, sending reminders, and following up with people who haven't responded
Coordinating client follow-up and communication touchpoints
Tracking insurance underwriting requirements and policy notices, gathering needed information from clients, and making sure nothing is left sitting
Preparing materials for client meetings, including statements, previous notes, and open items
Sending post meeting follow-up and making sure next steps are entered into the CRM
Supporting major events, conferences, webinars, and other operational follow-up
Keeping internal projects, tasks, and changing priorities organized and moving forward
Using established SOPs and the Game Plan Book to research answers, handle routine process questions independently, and close loops without reminders
In this role, you'll provide executive and administrative support that helps the Co-owner and Financial Architect perform at her best. You'll bring structure and clarity to evolving priorities, help keep things moving forward, and create the operational support needed as Counterflow continues to grow.

Position Details
This is a Remote W2 position
Benefits start after 90 days and include PTO / Vacation, Sick Time, and Paid Holidays
The position will start at approximately 25 hours per week and grow to 40 hours per week within two months
Hours are Monday through Friday, 11:00 am to 4:00 pm ET to start, growing to 10:00 am to 6:00 pm ET
Occasional Saturday availability for a couple of hours will be required
The pay rate is $30/hr. USD and is non-negotiable
You must be able to pass a background check
We are looking for someone to become a long-term (3+ years) team member.
