Document Processing AssociateJoin Neumo's Chicago Scanning Operations team and play an important role in preserving historical, legal, and government records for future generations.Our team partners with local government agencies to convert physical records into secure, high-quality digital archives. As a Document Processing Associate, you'll work hands-on with a variety of materials, including microfilm, roll film, books, files, and paper documents, helping ensure important information remains accessible and protected.This is an excellent opportunity for individuals who enjoy detail-oriented work, thrive in structured environments, and take pride in producing accurate results. No prior scanning experience is required. We provide training for candidates who demonstrate reliability, strong attention to detail, and a willingness to learn.Duties and Responsibilities:Prepare materials for scanning by removing staples, bindings, paper clips, and other fastenersOperate document scanning and imaging equipmentCapture high-quality digital images of paper records, books, files, microfilm, roll film, and other archival materialsOrganize, stage, track, and return documents throughout the scanning processFollow established procedures for handling confidential and sensitive recordsInventory & Data Management:Maintain accurate inventory records using Microsoft Excel and internal systemsPerform data entry and document tracking activitiesVerify document counts and maintain accurate project recordsQuality Control & Digital Processing:Review scanned images for accuracy, completeness, and image qualityVerify that records meet project and client requirementsPerform basic image corrections when neededIdentify and resolve scanning errorsTeamwork & Professionalism:Communicate effectively with supervisors, project leads, and team membersSupport project deadlines and production goalsRepresent Neumo professionally while working at client locationsFollow all confidentiality, security, and document-handling proceduresEducation and Experience:High School Diploma or equivalentExperience in document scanning and data entryExperience with scanning equipment such as OPEX, Inotec, or similar production scannersExperience working with microfilm or roll-film scanningExperience performing quality control or production-based workFamiliarity with digital imaging concepts such as file formats, image resolution, and image qualityKnowledge, Skills and Abilities:Basic computer skills and ability to learn new software quicklyProficiency with Microsoft ExcelFamiliarity with Microsoft Outlook, Word, and TeamsStrong attention to detail and commitment to accuracyAbility to follow established procedures and instructionsReliable attendance and punctualityThrive in structured, process-driven environmentsEnjoy staying productive and maintaining a consistent workflowTake pride in producing accurate, high-quality workDemonstrate reliability and strong attendance habitsWork efficiently while maintaining attention to detailAdapt to changing project priorities and assignmentsSupport team goals and contribute positively to the work environmentTake initiative to learn new skills and support the continued growth of the scanning operations teamWork Environment:Work is performed primarily at client locations where records are stored and processedProject sites may include office environments, records facilities, or warehouse-style locationsTeam members may be assigned to different projects based on business needsModerate noise levels and regular use of scanning equipment, computers, and office technologyProfessional conduct is required at all times, as employees represent Neumo while working on-siteTeam members may be assigned to different projects, document types, and client locations based on business needs, project schedules, and operational priorities.Physical Demands:Ability to lift and move materials weighing up to 30-50 pounds, depending on project needsFrequent movement of files, boxes, books, film, and document containersAbility to sit or stand for extended periods while performing repetitive tasksRegular use of computers, scanners, printers, and other office equipmentAbility to move throughout office, records-storage, and warehouse environmentsNeumo Summary:With the backing of four decades of public sector expertise and corporate capability, Neumo has successfully supported government services.
