Job description
Appointment SchedulerBasic Function: To maintain the appointment schedule and schedule routine appointments to balance the patient flow within the center.Principal Accountabilities:To schedule appointments for all center providersTo determine if a patient call should be transferred to an appropriate party, ie. nurse, provider or referralsTimely review and return of voice messages from patientsAssist patients and de-escalate patient concerns as appropriateAssist patients with coordinating appointments that fit their needsReviews scheduling history to ensure continuity of careFollows scheduling guidelines and provider templates for appropriate schedulingAdjust provider schedule according to time-off requestsPrepares and sends appointment letters to patients as neededReview patient consents and appropriate forms to ensure HIPAA compliance before communicating informationCoordination with Medical Records staff with facilitation of new patient packetConfirmation of patient appointments with appropriate note made in patient record according to No Show and Appointment Confirmation PolicyDocumentation in PM/EHR of any discussion with patients as appropriateTo engage in Patient Centered Medical Home initiatives, including participating as part of the Clinical Care TeamOther duties and responsibilities as may be requested by supervisor and/or managementRequirements:High school diploma or GED is requiredAppointment Scheduler must be willing to accept direction from supervisor, possess the ability to work well and a professional with compassion in stressful situationsVerbal and written communication skills, office applications preferredDemonstrate proper judgment and decision making skills when necessaryComply with the organizations code of conduct, safety rules and adheres to all company policiesCarry out job responsibilities in an ethical, effective and professional mannerMust be willing and demonstrate the ability to cooperate, work, and communicate with coworkers and supervisorsMust demonstrate computer proficiency with Microsoft Suite and electronic medical record systemMust possess a willingness to accept direction from providers and supervisors; must possess the ability to work well and with compassion in stressful situations; must maintain a professional and courteous demeanor with both patients and co-workersMust be keenly aware of the importance of confidentiality in all aspects of the position
