Job description

PEIMS Data CoordinatorPrimary Purpose:This position supports the accurate submission of student data to the Public Education Information Management System (PEIMS), ensuring compliance with Texas Education Agency (TEA) requirements for state funding, evaluation, and auditing. The role involves collaboration with the Business Office, Campus Staff, and Human Resources to analyze, troubleshoot, and train on PEIMS-related processes, systems, and procedures. The PEIMS Data Coordinator serves as a liaison between campuses and Region 20 to facilitate operations.Qualifications:Education/Certification:Bachelor's Degree or equivalent experience in managing PEIMS Data Standards (preferred)High school diploma or GED requiredTASBO certification in Accounting, Budget, Payroll, Risk Management, Human Resources, PEIMS is preferred.Special Knowledge/Skills:Strong attention to detail, ensuring accurate, auditable recordsProficient in Google Suite and data analysis toolsCapable of performing basic math and meeting deadlinesStrong organizational, communication, and interpersonal skillsAbility to follow and interpret detailed instructionsAbility to meet established deadlinesProficient use of Excel, Google Sheets, Google Forms, and Smartsheet preferred.Experience:3 years of experience in a school district administrative support position requiring collecting and entering data; experience using coding systemsExperience with Student, and financial information systems and best practices.Knowledge of TEA reporting requirements and mandatesExperience in ensuring data integrity and accountabilityAbility to collaborate with teams and provide training and supportStrong problem-solving skills, with the ability to manage multiple priorities under pressureExcellent verbal and written communication skills, especially in simplifying technical concepts for diverse audiencesMajor Responsibilities and Duties:District-Level Records and Reports:Coordinate the collection, integration, and formatting of all data required for PEIMS submission according to Texas Education Agency PEIMS Data Standards.Coordinate with campus PEIMS clerks, business, and personnel office staff to meet state submission deadlinesDaily run edits, reports, and verification checks on data to ensure accuracy of information. Distribute edits and reports to appropriate staff for analysis, verification, and correction.Submit complete and accurate PEIMS data in Texas Education Agency (TEA)-prescribed format to the education service center (ESC) for processing using a computer terminal. Ensuring accurate and timely final PEIMS submissions is one of the coordinator's primary responsibilities.Conduct attendance audits and provide enrollment and special population reports and analysis every month to the CFO and Superintendent.Campus-Level Records and Reports:Collect and verify the accuracy of PEIMS data. Conduct regular meetings with PEIMS staff to ensure all data is accurate before submissions.Coordinate campus registration processes, dates, and parent customer service.Assist with attendance inquiries from parents, students, and staffFile and maintain reports and records in accordance with established proceduresEnsure confidentiality of all recordsTraining and Technical Support:Provide training to campus and district staff on PEIMS processes to ensure data quality and reduction of fatal errors at submission.Support and train PEIMS staff with all district submissions, errors, and student attendance.Disseminate updates from TEA and ESC to staff, including new data standardsProvide training before submissions and technical support to staff as needed to ensure data integrity.Additional Responsibilities:Assist parents and staff with Ascender during the school year by troubleshooting issues as neededUpdate and manage the FitnessGram program and submit data to TEACompile and submit OCR data as required by the Office of Civil RightsPrepare and process Transfer Applications for district employees' childrenComply with policies established by federal and state law, State Board of Education rule, and local board policy.Perform other duties as assigned by the Chief Financial Officer or Superintendent.Supervisory Responsibilities:None.Mental Demands/Physical Demands/Environmental Factors:Prolonged sitting; occasional bending, stooping, pushing, and twistingFrequent repetitive hand motions and keyboardingLight lifting (up to 15 pounds)Work is primarily office-based, with occasional irregular hours and interruptionsMaintain emotional control under stress
