Document Controls Specialist - PowerLocation: Seminole, TX, US Job Level: Mid Level Home District/Group: TIC Power District Department: Document Controls Market: Power Employment Type: Full TimePosition Overview The Document Control Specialist shall be skilled in using technology to complete their tasks. They are primarily responsible for independently administering and managing the project document control system(s), including logging, transiting, and distributing all relevant documents into the system and distributing them to the appropriate project team members. The Document Control Specialist is also responsible for coordinating/collaborating with project staff to help facilitate and expedite the project team's efficiencies. They should communicate/collaborate well with a large team to coordinate and complete multiple responsibilities on a deadline.District Overview TIC Power is a subsidiary of Kiewit Corporation that provides direct-hire construction services for Power Generation utilizing a non-union craft force. Strength in estimating and pre-project planning. Constructing cogeneration, combined-cycle, geothermal and waste-to-energy generation and resource facilities. TIC Power builds major EPC power plant and solar farm projects throughout North America.Location The position is based out of Seminole, TX.ResponsibilitiesResponsible for maintaining the Project Document Control Program throughout the project's lifecycle.Control the numbering, sorting, filing, storing, and retrieval of electronic and hard copy documents.Oversee the proper approval, maintenance, and distribution of documents and retention policies.Responsible for reproduction of documents, preparing reports and addendums.Maintain records of incoming document transmittals and prepare outgoing transmittals.Support the efforts to ensure that the system documents are maintained with accurate and current information.Perform process audits to ensure accuracy of all controlled documentation.Assist with requests for information from external customers, vendors, and internal customers (inter-company).Participate as needed in corrective/preventive actions items and their investigations.Guide a team to administer the document flow and distribution at the Project site.Train projects on document control standards, workflow, and systems.Ensure that the confidentiality of sensitive information is protected.Perform other duties as assigned by project management.Perform any task required to support company goals.QualificationsBasic knowledge of Electronic Document Management Systems (EDMS)Knowledge of records/information management principles and methodologies is an assetProficient in Microsoft OfficeKnowledge of SharePoint and InEight software is a plusWilling to perform a variety of tasks and learn new skillsDetail-oriented, flexible, and highly motivatedExcellent interpersonal, written, and verbal communication skillsAbility to work effectively within a project team with minimal supervisionOther Requirements: Regular, reliable attendance Work productively and meet deadlines timely Communicate and interact effectively and professionally with supervisors, employees, and others individually or in a team environment. Perform work safely and effectively. Understand and follow oral and written instructions, including warning signs, equipment use, and other policies. Work during normal operating hours to organize and complete work within given deadlines. Work overtime and weekends as required.
