Document Scanning & Records ClerkLocation: Lacey, WashingtonWork Arrangement: 100% Onsite – No Remote WorkSchedule: Full-time; work must be performed onsite during the client's approved operating window of 7:00 AM–5:00 PM, Monday through Friday, excluding state holidays, unless otherwise authorized.Position OverviewWe are seeking a highly organized and detail-oriented Document Imaging & Records Conversion Specialist to support a large-scale onsite records digitization project for a Washington State government agency. The selected individual will work onsite as part of a document conversion team responsible for preparing, scanning, indexing, quality-checking, naming, and organizing approximately 520,000 agency documents. This is a hands-on administrative/records position requiring exceptional attention to detail, accuracy, productivity, and the ability to handle large volumes of physical and electronic records. The successful candidate must be comfortable performing repetitive document-processing activities while consistently following established file identification, indexing, naming, scanning, and quality-control standards.Key ResponsibilitiesPrepare large volumes of paper records for digital conversion.Retrieve documents from boxes and file folders and organize materials for scanning.Remove staples, paper clips, bindings, fasteners, and other materials that interfere with scanning.Repair/tape torn documents as necessary and properly orient pages before scanning.Maintain individual files as discrete document groups throughout the conversion process.Receive and follow client training regarding document identification, file identification, indexing, and digital file-naming requirements.Create document separator sheets containing required information, including licensee name, license number, and document type.Ensure separator sheets are used for processing but are not included in the final digital document.Scan documents at a minimum of 300 DPI using auto-color detection.Ensure documents undergo full-text OCR (Optical Character Recognition).Create properly structured multi-page PDF files.Ensure each physical folder is converted into the appropriate single digital document.Apply required file-naming conventions using information obtained from source documents, separator sheets, and document boxes.Follow the required naming convention, generally Name_LicenseNumber_DocumentType.pdf, unless otherwise directed.Request clarification when document identifiers or indexing information are unclear rather than making assumptions.Perform quality-control reviews to confirm scanned images are complete, legible, properly oriented, and readable.Verify that electronic documents have been accurately captured, named, and indexed.Identify scanning, indexing, or image-quality errors and correct/rescan documents as necessary.Upload completed digital files into the client's designated secure network folder for quality review.Following successful QA, assist with transferring approved digital documents into Laserfiche, the agency's records management system.Maintain confidentiality and appropriate handling of government records.Maintain an organized, clean, and secure document-processing workspace.Meet daily and weekly production and quality expectations established for the project.Work collaboratively with project leadership and agency personnel to resolve document-processing questions.Required QualificationsHigh school diploma or equivalent.Previous experience in document scanning, records management, document imaging, data entry, file administration, clerical support, records conversion, or a similar administrative environment.Strong attention to detail and ability to identify small differences in names, numbers, document types, and indexing information.Strong data-entry and keyboarding skills.Ability to work accurately with large volumes of documents.Basic proficiency with Windows-based computers and electronic file/folder structures.Ability to learn document scanning and records-management applications.Experience creating, naming, saving, and organizing PDF documents.Ability to follow detailed written procedures and established naming/indexing conventions.Ability to maintain accuracy while performing repetitive production work.Ability to work independently while functioning effectively within a production team.Dependable attendance and punctuality.Ability to work 100% onsite in Lacey, WA.Highly Preferred ExperienceExperience with high-volume scanning equipment, OCR software, Adobe Acrobat/PDF processing, Laserfiche or another electronic document/records management system, document indexing, quality assurance, government records, legal records, healthcare records, financial records, licensing records, or other confidential documentation would be particularly valuable. Candidates who have worked as Document Imaging Specialists, Records Clerks, Scanning Technicians, Document Control Specialists, File Clerks, Records Specialists, Data Entry Specialists, Medical Records Clerks, Legal Records Clerks, or Document Conversion Specialists should be strong recruiting targets.
