Job description
Job Summary: The DOT Compliance Specialist is responsible for ensuring company-wide compliance with Department of Transportation (DOT) regulations. This role involves monitoring driver qualification files, maintaining regulatory records, and collaborating cross-functionally to manage compliance-related processes. A successful candidate will be highly organized, adaptable, and capable of navigating sensitive compliance conversations.
nKey Responsibilities
nn New Driver Onboarding
nnReview driver packets for missing information, reach out to branch if missing
nCreate driver profiles in 3rd party license monitoring system
nRun 3 year DOT employment verification
nCreate driver Samsara profile
nEnsure drivers have completed pre employment FMCSA Drug and Alcohol Clearinghouse Query
n
n Maintain Driver Qualification Files (DFQ)
nnCheck 3rd party license monitoring system and Barnhart enterprise system for valid DQFs. Communicate with branches for needed documentation.
nDeactivate drivers in 3rd party license monitoring system and Samsara who no longer work for Barnhart.
nAudit the branches for Driver File Compliance
nMaintain billing for 3rd party license monitoring system

n Samara Hardware Management
nnNew vehicle hardware ordering and installation
nBilling for Samsara invoices
nAssist in troubleshooting device Issues
nQuarterly: Coordinate Gateway replacements needed throughout the company
n
n DOT Incident Management: Inspections, Accidents and Reporting
nn__BASICs CSA scorecard monthly reporting:
nAnalyze and provide violation information to leadership
nSubmit DataQs if incorrect violation.
nPost Accidents CMV:nnInvestigate driver compliance
nSee DOT Post Accident/ Violation Checklist

n HOS Compliance
n FMCSA Drug and Alcohol Compliance
nn DISA Compliance Monitoring
n Update rosters monthly
nnDISA Compliance Monitoring
n
n NCMS audits
n Drug Testing Compliance for all CMV Drivers (FMCSA Policy)
n
n __Entry Level Driver Training (ELDT)
nnMaintain Training Provider Registery
nAccess needed: FMCSA ELDT
n
n Assist other departments as needed: Fleet, Sales, Maintenance, etc.
n nQualifications:
nnStrong verbal and written communication skills.
nProficient in Microsoft Excel.
nHighly organized and detail-oriented.
nComfortable navigating regulatory complexities and difficult conversations.
nAble to adapt to changing priorities and collaborate across teams.
nPrior experience in DOT compliance, transportation, or logistics preferred.
nFamiliarity with FMCSA regulations, Samsara, Supervision, and DISA reporting tools is a plus.
nMust possess valid driver's license.
nMust pass drug test, fit for duty evaluation and background check.
