This is a hybrid position based out of our RTP office, with a schedule of three days in the office and two days working remotely.

30 - 40% travel

This role is for someone who gets things done — curious, proactive, and energized by variety. It requires independent judgment, the ability to make decisions across multiple workstreams, and ownership of core communication and operational functions.

You’ll be part of the Business Development & Plasma Affairs team (US Plasma Communications) at Biomat USA, in a full-time, multi-functional role covering three areas: internal communications lead, event management oversight, and executive-level operational coordination.

In this role, you will execute the day-to-day strategy, and continuous improvement of the internal communications platforms, support the planning and delivery of key events, and provide high-level operational support.

Area 1 — Internal Communication Lead (approx. 50%)

Platforms Administration — User Lifecycle

·       Lead and coordinate the internal communication platforms for all Plasma Donation Centers across Biomat USA. It connects employees through different platform for communication, task management, and team culture.

·       Own and lead the end-to-end user lifecycle in the internal communication platform — from new hire notification to account creation, role assignment, and offboarding.

·       Coordinate with necessary departments (Example IT dpt) the execution and maintenance of these platforms. Design and maintain governance standards for user access, role accuracy, and platform integrity.

·       Conduct a monthly license audit — comparing active accounts against active licenses and releasing unused licenses via the platform.

·       Lead the user onboarding experience for all new employees — from welcome communication to first login confirmation.

·       Maintain and update onboarding materials

·       Identify and implement improvements to onboarding flows and platform-side automation.

·       Own the editorial calendar and publication of news, employee recognition, surveys, and people and culture content.

·       Act as the publisher for content produced by the HQ People Experience team and ensure alignment with communication standards and messaging strategy.

·       Community Management — Monitoring and Activation:

·   Design and activate recognition campaigns — seasonal celebrations, award announcements, team milestones, and birthday campaigns.

·       Operational Content & Task Management:

·       Lead the creation and governance of operational tasks — Missions, Quick Tasks, Forms, Surveys, Action Plans, and Polls.

·       Produce and Coordinate with various departments on different campaigns creation and create standard reports.

·       Serve as the primary operational owner for platform issues, feature requests, and technical improvements.

Area 2 — Event Management Oversight  (approx. 40%)

·       Lead and manage internal and external events

·       Support the execution of internal Grifols Strategic events.

·       Oversee logistics strategy of the events.

·      Manage the budget for events and post-events. Process event-related invoices and expense claims in coordination with Finance.

·      Support the team's participation in external conferences, industry events, and community engagement initiatives.

·      Coordinate logistics for external event participation — registration, travel arrangements, materials, and on-site support.

·   Lead the preparation of event materials — presentations, printed assets, and branded content — coordinating with Marketing as needed.

Area 3 — Executive-Level Operational Support (approx. 10%)

·       Invoice and Financial Administration management

·       Exercise judgment in identifying discrepancies, budget risks, and approval requirements.

·       Calendar and Meeting Management of events.

·       Confidential document management and other admin task as needed.

SKILLS & COMPETENCIES (required)

Functional Skills

·       Experience managing digital platforms, communications tool, or employee engagement system.

·       Strong organizational skills — ability to manage multiple workstreams, deadlines, and priorities simultaneously without losing track.

·       Strong experience in coordinating events — from small team gatherings to larger corporate events.

·        Proficient in Microsoft Office (Word, Excel, PowerPoint, Teams) and comfortable learning new digital tools quickly.

·       Experience working with data — reading dashboards, and producing simple reports.

Interpersonal Skills

·       Highly effective at coordinating across multiple teams without constant supervision.

·       Demonstrates independent judgment and decision-making.

·       Proactive in anticipating needs and agile in problem solving

·       Discreet and professional — handles confidential information with care and good judgement.

·       Service-oriented — responsive, reliable, and always follows through.

·        Hands-on and solution-oriented — tackles challenges directly, stays agile, and finds practical answers without waiting for direction.

·       Comfortable working across time zones and with international teams.

·       Detail-oriented.

Able to travel up to 30-40% of time

EXPERIENCE & EDUCATION REQUIREMENTS

·       3 to 5 years of professional experience in a role that combines at least two of these layers — communications, operations/events.

·       Bachelor degree required in one those of areas: Hospitality Management / Tourism, Communications or Public Relations and Business Administration Management.
