This is a full-time, in-person position requiring attendance in the office five days per week.

The ideal candidate will be a highly organized, proactive, and dependable professional who enjoys supporting busy leaders within a fast-paced, collaborative environment. You'll bring strong attention to detail, sound judgment, and a practical approach to managing changing priorities, confidently handling everything from meeting arrangements to travel logistics and expense reporting.

This is an excellent opportunity to contribute to a respected creative practice while developing your experience alongside an established executive support team. Benefits include medical, dental, and vision coverage, a 401(k) with employer matching, and paid time off.

Key Responsibilities:

* Coordinate calendars, appointments, and meetings alongside the senior Executive Assistant, anticipating scheduling conflicts and keeping arrangements on track.

* Organize domestic and international travel, including transportation, accommodation, itineraries, and relevant travel documentation.

* Prepare expense reports and timesheets, maintain accurate records, and assist with routine financial administration.

* Support leadership communications and meeting preparation, including correspondence, room bookings, refreshments, and follow-up coordination.

* Keep professional memberships and credentials up to date, maintain contact records, and assist with occasional reception coverage and additional administrative projects.

Key Skills/Requirements:

* Approximately 3-5 years of administrative or executive support experience within a professional environment.

* Experience coordinating busy schedules, travel arrangements, and expense reporting with accuracy and attention to detail.

* Strong Microsoft Office skills and confidence learning new systems; familiarity with CRM platforms such as HubSpot is an advantage.

* A proactive, reliable, and discreet approach, with the ability to prioritize effectively and follow through as needs change.

* Clear communication and strong teamwork skills, with a willingness to provide hands-on support and work in the New York office five days per week.
