Job description
Executive Administrative PartnerMeta is seeking an experienced Executive Administrative Partner to join the administrative team supporting the President and Vice Chairman's office. The person in this role will need to be a problem-solver with consistent attention to detail as well as highly organized given complex needs, heavy volume, and a significant diversity of projects and tasks across the office. This person will manage a complex calendar alongside project and task-based work. Additionally, the ideal candidate will be support-minded, adaptable, have experience communicating effectively with internal teams and external stakeholders, including coordinating across multiple projects and conveying updates clearly in writing and verbally, experience building relationships and collaborating across teams and with external stakeholders, and be proactive and resourceful in executing projects and tasks across the team and company.ResponsibilitiesManage complex scheduling and logistics movementsManage reactive and proactive schedulingCoordinate internal and external meetingsPrepare expense reports and purchase requisitionsTravel to support large off-sites as neededSupport onsite team needsCoordinate both domestic and international travel arrangementsBuild cross-functional relationships between departmentsPartner closely with org lead adminsCommunicate key org and company updates to admins and cross-functional partnersQualifications5+ years of relevant experience providing administrative support to 1 or more executives5+ years of relevant experience coordinating travel logistics on behalf of 1 or more executives5+ years of relevant calendar management and expense report management experience for 1 or more executivesExperience prioritizing multiple projectsExperience with Microsoft Office and Google Suite Demonstrated ability to integrate AI tools to optimize/redesign workflows and drive measurable impact (e.g., efficiency gains, quality improvements)Experience adhering to and implementing responsible, ethical AI practices (e.g., risk assessment, bias mitigation, quality and accuracy reviews)Experience in a multi-staffed office environmentPrior or current experience supporting VPs at large-scale tech companyDemonstrated ongoing AI skill development (e.g., prompt/context engineering, agent orchestration) and staying current with emerging AI technologiesExperience independently managing projects, prioritizing competing tasks based on impact and deadlines, and changing direction quickly if neededExperience driving events and fostering team environmentProject management experienceBA/BS degreeConsistent track record of ensuring confidentiality and discretion in all partnershipsExperience collaborating and partnering closely with other administrative professionals and key cross-functional partnersExperience managing logistics across multiple teamsExperience demonstrating attention to detail, taking ownership of tasks, and driving them to completion proactivelyExperience building, managing and influencing cross-functional business stakeholder relationshipsExperience building and maintaining trust with leadership and partners
