Job description
Temporary Executive Assistant, ExperiencedThe Product and Health Plan Strategy team develops and implements strategies to promote brand awareness, reinforce value and sales of products and services. The Temporary Executive Assistant, Experienced will report to the Vice President, Health Plan Product Development. In this role, you will manage the VP, Product and Health Plan Strategy and VP, Health Plan Product Development and other Leadership team's schedules, manage information flow in a timely and accurate manner, provide coordination and documentation of travel and expenses, plan and coordinate events, take notes and minutes during select meetings, organize and run select team meetings. Ultimately, you will deliver efficiency for our business by providing personalized and timely support to executive members.Manage executive calendars, including scheduling meetings, coordinating logistics, and resolving scheduling conflictsCoordinate domestic travel arrangements, including flights, hotels, transportation, etc.Prepare, submit, and track expense reports in accordance with company policiesOrganize meetings, events, and offsite activities, including room reservations, catering, agendas, and materialsSupport miscellaneous projects, including data gathering, presentation preparation, document management, and meeting follow-upPrioritize competing requests, proactively anticipate needs, and respond with a strong sense of urgency to support business objectives and executive prioritiesExercise sound judgment in assessing priorities, escalating issues appropriately, and driving timely resolution of action itemsMonitor and coordinate action items to ensure timely completionMaintain confidential and sensitive information with discretionProvide general administrative support as needed to ensure efficient day-to-day operationsRequires at least 3 years of prior relevant experienceOutstanding verbal and written communication skillsAbility to work in a fast-paced environmentPrior experience working in insurance or other regulated markets preferred but not requiredExperience supporting Vice President-level leaders requiredDemonstrated ability to prioritize competing demands, exercise sound judgment, and act with a strong sense of urgency in a fast-paced environment requiredExperience supporting executives – VPAbility to prioritize, work in a fast-paced environment; highly self-sufficient and able to resolve conflictConcur, PowerPoint, Outlook, Word, TeamsHigh SchoolMS Office 365 – Outlook, PowerPoint, Word, Teams; Concur; UltiPro or other time management software
