Job description

Executive Assistant and Office OperationsThe Executive Assistant and Office Operations role provides high-level administrative, human resources, and office management support to ensure the efficient day-to-day operations of Famicos Foundation. Reporting to the Executive Director, this position serves as a central coordination point for executive support and office operations while maintaining a high level of confidentiality and professionalism.Key ResponsibilitiesExecutive and Administrative SupportMaintain and manage records for the Executive Director and corporate filesManage Executive Director calendar, scheduling, and office/building usagePrepare correspondence, reports, board materials, minutes, and presentationsAnswer and manage incoming calls and communicationsSupport organizational reporting, including monthly and quarterly reportsOffice Operations and CoordinationOversee general office operations, supplies, and inventory controlCoordinate reception area coverage, scheduling, and backup supportManage community room scheduling and usageOrganizational SupportSupervise or coordinate support functions such as reception and related services (as assigned)Maintain professionalism and a positive work environmentComplete special projects and additional duties as assigned by the Executive DirectorQualifications3–5 years of experience in administrative support, office management, and/or human resourcesStrong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and general office systemsExcellent organizational, record-keeping, and multitasking abilitiesStrong written and verbal communication skillsAbility to handle sensitive and confidential information with discretionSelf-motivated with the ability to work independently and meet deadlinesExperience in nonprofit or community development environments preferredSkills and AttributesHighly organized with strong attention to detailStrong problem-solving and decision-making abilitiesAbility to manage multiple priorities in a fast-paced environmentProfessional demeanor with strong interpersonal skillsCollaborative team player with a service-oriented mindsetCommitment to the mission and values of Famicos FoundationWhy Join Us?At Famicos Foundation, you'll be part of a mission-driven team committed to strengthening communities and improving lives.
