Executive AssistantLocation: Boston, Massachusetts (02215)Duration: 13 Weeks Schedule: Monday–Friday, Day Shift Hours: 40 Hours/WeekPosition Summary:The Executive Assistant will provide complex administrative support to an executive and oversee projects that require a high level of organization, discretion, and independent judgment. This role will manage special projects, reports, presentations, scheduling, correspondence, and other executive-level administrative functions.Notes: This is a 100% on-site position.Essential Responsibilities:Provide high-level administrative support to an executive and represent the executive when interacting with internal and external stakeholders.Respond to policy-related questions and determine appropriate actions for sensitive issues with organization-wide visibility or potential financial and operational impact.Build and maintain strong professional relationships with stakeholders at all levels of the organization.Gather and analyze information on behalf of the executive and independently prepare complex memos, letters, reports, and other correspondence.Coordinate meetings with community leaders, government agencies, legal firms, and consulting organizations.Handle sensitive and confidential information with discretion and sound judgment.Respond appropriately to inquiries regarding medical center access and other sensitive matters.Generate reports by determining appropriate data inclusion and output criteria and review reports for accuracy and completeness.Manage the executive's online calendar and coordinate multiple meetings and appointments.Maintain organized files and background materials needed for the executive's daily schedule.Coordinate complex travel arrangements and assist with preparation of materials for meetings and presentations.Independently organize and implement administrative systems and procedures to improve efficiency.Support special projects and other executive-level administrative initiatives as assigned.Required Qualifications:Associate's degree required, bachelor's degree preferred.5–8 years of related administrative or executive support experience.Advanced proficiency with Microsoft Office applications, including:OutlookWordExcelPowerPointAccessExperience working with web-based applications and administrative systems.Ability to prepare complex documents, perform data analysis, maintain databases, and generate reports.Strong organizational, communication, problem-solving, and time-management skills.Ability to handle sensitive and confidential information with professionalism and discretion.
