Executive Assistant – President's Office | Boston, MASigma Inc. is seeking an experienced Executive Assistant to provide high-level, confidential administrative and calendar support within the President's Office in Boston, MA. The ideal candidate will have experience supporting a C-suite executive, President, CEO, or other senior leader and will be highly organized, discreet, professional, and comfortable managing complex schedules and competing priorities.This position will interact with senior leadership, trustees, faculty, alumni, donors, internal departments, and external stakeholders, making strong communication and professionalism essential.Key ResponsibilitiesManage an extensive and complex executive calendar involving competing academic, administrative, and external commitments.Schedule, coordinate, and adjust meetings and appointments based on changing priorities.Coordinate calendar bookings with internal and external stakeholders.Communicate professionally with trustees, senior leadership, faculty, alumni, donors, and other stakeholders.Coordinate with senior administrators and departments to ensure meetings and commitments are properly organized.Welcome and assist guests visiting the President's Office.Answer and route incoming phone calls professionally.Review and manage general correspondence.Support other members of the President's administrative team as needed.Maintain confidentiality when handling sensitive executive, institutional, and stakeholder information.Independently prioritize competing requests and deadlines.Anticipate scheduling conflicts and resolve calendar issues efficiently.Provide general administrative and organizational support to the President's Office.Required Qualifications5+ years of experience supporting C-suite executives, senior executives, Presidents, CEOs, or other high-level leaders.Bachelor's degree preferred.Exceptional organizational and time-management skills.Excellent written and verbal communication skills.High level of discretion, confidentiality, and professionalism.Strong ability to manage complex calendars and competing priorities.Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.Experience with calendar management and scheduling tools.Experience with project management or administrative coordination tools preferred.Ability to work independently with minimal supervision.Ability to manage multiple deadlines and changing priorities in a fast-paced environment.Strong interpersonal skills and professional presence.Preferred QualificationsExperience supporting a President, CEO, C-suite executive, university executive, or senior institutional leader.Experience in a higher education, university, nonprofit, healthcare, or corporate environment.Experience coordinating meetings involving senior leadership, trustees, faculty, donors, or other high-profile stakeholders.Experience handling confidential executive correspondence and information.Strong experience managing complex executive calendars.
