Job description

Executive AssistantProvide day-to-day administrative and organizational support to the Executive Director/CEO and leadership team. Manage complex calendars, meetings, appointments, and scheduling priorities. Prepare meeting agendas, materials, presentations, and follow-up items. Coordinate internal and external meetings, including virtual and in-person events. Monitor deadlines, commitments, and follow-up items to ensure nothing falls through the cracks. Prepare correspondence, reports, documents, and other executive communications. Handle confidential and sensitive information with discretion. Help coordinate organizational priorities, projects, and initiatives. Maintain organized files, records, contact lists, and shared resources. Track action items and follow up with team members as needed. Assist with internal processes, procedures, and administrative systems. Support leadership with research, preparation, and special projects. Identify opportunities to improve administrative efficiency and organization. Assist with Board of Directors meetings, including scheduling, agendas, materials, and follow-up. Coordinate communication with board members, donors, partners, volunteers, and community stakeholders. Help prepare materials for leadership, board, donor, and partner meetings. Maintain professionalism and positive relationships with internal and external stakeholders. Support planning and coordination of nonprofit events, meetings, fundraisers, and community activities. Assist with logistics, invitations, communications, materials, and follow-up. Take ownership of special projects assigned by executive leadership. Step in where needed to help the organization meet its goals and serve its community.What We're Looking ForThree or more years of experience supporting executives, senior leaders, or organizational leadership. Strong organizational and time-management skills. Excellent written and verbal communication skills. Ability to manage multiple priorities and deadlines. Strong attention to detail and follow-through. High level of professionalism, discretion, and confidentiality. Comfortable interacting with executives, board members, donors, community partners, and staff. Strong proficiency with Microsoft Office and/or Google Workspace. Ability to work independently while also being a collaborative team member. Strong problem-solving skills and a proactive approach to work.Previous experience working in a nonprofit or mission-driven organization. Experience supporting a CEO, Executive Director, or Board of Directors. Experience coordinating nonprofit events, fundraisers, or community programs. Familiarity with CRM, donor management, project management, or database systems. Experience working with volunteers, donors, community partners, or other external stakeholders.The Ideal CandidateYou are someone who: Anticipates needs rather than waiting to be asked.
