Job description
Executive AssistantThe Executive Assistant provides administrative support and project management for the Director of Philanthropic Engagement. The essential functions as shown below represent only the key areas of responsibility; specific position requirements will vary depending on the needs of the district.Essential Functions and Responsibilities:Answer incoming calls, field questions, and initiate follow up communication.Manage the collection, maintenance, integrity, and secure sharing of donor, partnership, and engagement data within the Microsoft Dynamics donor database, ensuring accuracy, timely updates, and compliance with applicable state and federal laws.Coordinate and manage ongoing projects under the direction of the director including issuing and collecting donor/partnership contracts, sending partnership surveys, creating branded materials and assisting with community events.Compile and integrate data from multiple sources, including district-specific systems, to produce professional reports, documents, and presentations.Collaborate across district departments to collect and share data and update promotional materials.Support compliance with foundation and grant requirements to ensure funds are used appropriately and in accordance with established guidelines.Assist with scheduling meetings, sending communication, and recording notes during meetings.Other duties, as assigned.Minimum Qualifications:Education: High school diploma, HiSET, or G.E.D.Work Experience: Five years of work experience in community engagement or customer serviceLicensure or Certification: N/AKnowledge, Skills, and Abilities:Ability to work a varied work schedule which includes evening and/or weekend hours.Excellent customer service skills.Effective written and oral communication and presentation techniques.Ability to prioritize tasks, manage time effectively, and proven ability to meet deadlines.Attention to detail and accuracy.Ability to work independently or collaborate effectively within a teamProficient with Microsoft Office Suite, Microsoft Dynamics, or related softwareMaintain confidentiality.Attend work on a prompt and regularMaintain satisfactory and harmonious working relationships with the public, students, and otherPhysical Requirements:PHYSICAL DEMAND: - FREQUENCY:Standing - Occasional 1% - 32%Walking - Frequent 33% - 66%Sitting - Frequent 33% - 66%Bending/Stooping - Occasional 1% - 32%Reaching/Pushing/Pulling - Occasional 1% - 32%Climbing/Stairs - Occasional 1% - 32%Driving - Occasional 1% - 32%Lifting (20 lbs.) - Occasional 1% - 32%Carrying (10 feet) - Occasional 1% - 32%Manual Dexterity TasksTelephone - Frequent 33% - 66%Computer - Frequent 33% - 66%Other - Never 0%Working ConditionsInside - Constant 67%+Outside - Occasional 1% - 32%Extremes of Temperature/Humidity - Occasional 1% - 32%
