This role will manage calendars, travel arrangements, support the HR leaders and team as needed and various general administrative duties. The ability to solve problems, think ahead, and anticipate needs and take initiative is critical.Your ImpactAbility to manage highly sensitive and confidential information with discretionManage the leaders' calendar; identify potential conflicts and make recommendations for resolutionProactively manage competing priorities across multiple leaders, ensuring effective use of time and alignment with business priorities.Develop a clear understanding of the business meetings (cadence, purpose, attendees)Prioritize incoming information and appointments, learn preference for response, in email, text, Teams chat, in personTake initiative to respond to requests and support the leader with required and useful informationCreation of PowerPoint slides and decks, based on direction from leadersDevelop creative ways to gather the information (Ex. learn how others prefer to respond, email, text, Teams chat, in person)Demonstrate adaptability, flexibility, and resourcefulness as changes occur in schedules, plans, documents, or other situations throughout the business dayContribute to ongoing improvement of process and support of the teamCoordinate leadership team meetings, offsites, and special events, including logistics, preparation of materials, and follow-up on action items.Schedule and manage travel and transportationComplete and verify expense reportsCoordinate all details of setting up meetings owned by leader (room reservation, table arrangement/set-up, technology support)Ensure agenda and meeting information are distributed prior to the meetings owned by leaderAct as a liaison to other business and enterprise partners as directed by the leader including human resources, finance, and operations.Communicate with team members and cross functional teams both internally and externally as appropriate, including communication with other EA partners.Minimum Salary: $80,000.00Maximum Salary: $105,000.00VS&Co provides a range of compensation for this role as shown. Your actual salary will be determined by a number of factors, including: your specific skills and experience, geographic region, or other relevant factors.Your ExperienceMinimum of 7 years' experience as an Executive Assistant providing support to a senior executive in a fast-paced, dynamic environment requiredAdvanced PC skills (proficient using Microsoft Windows, Word, Excel, Outlook, PowerPoint, Teams)PowerPoint experience requiredProven track record including roles of increasing responsibilityProven success working in an environment where multi-tasking is the normCreative problem-solving skillsAdvanced calendar management, multi-tasking, and organizational skillsAdvanced travel management/booking and dealing with expense managementExcellent interpersonal and communication skills (written and verbal)Ability to anticipate Executive's needsStrong adaptability, flexibility, initiative, and resourcefulnessAbility to exercise independent judgment and decisionsDemonstrated ability to maintain a high level of professionalism and confidentialityWe will consider for employment all qualified applicants, including those with arrest records, conviction records, or other criminal histories, in a manner consistent with the requirements of any applicable state and local laws.
