Executive AssistantThe Executive Assistant to the CEO provides high-level administrative, organizational, and operational support to the CEO. This position serves as a trusted partner in managing the CEO's schedule, communications, priorities, meetings, and day-to-day responsibilities.The Executive Assistant is responsible for helping the CEO stay organized and focused on the highest-priority needs of the business. This individual will anticipate needs, coordinate information across departments, track commitments and follow-up items, and ensure important matters continue moving forward. Because this position works closely with the CEO and has access to sensitive business and personnel information, a high level of professionalism, discretion, judgment, and confidentiality is essential.Qualifications:Previous experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar professional support role preferredHigh school diploma or equivalent required. Associate's or bachelor's degree in business administration, communications, management, or a related field preferred.Experience directly supporting a CEO, executive, or senior leader strongly preferredExceptional organizational and time-management skillsStrong written and verbal communication skillsHigh level of professionalism, discretion, and confidentialityStrong attention to detail and follow-throughAbility to manage multiple priorities and quickly adjust as priorities changeAbility to work independently and take initiative without requiring constant directionStrong problem-solving skills and professional judgmentAbility to communicate effectively with individuals at all levels of the organizationProficiency with Microsoft Office, Google Workspace, and other business productivity platformsAbility to learn and utilize new technology and software systemsResponsibilities:Manage and maintain the CEO's calendar, appointments, meetings, and scheduling prioritiesCoordinate internal and external meetings and ensure the CEO is prepared with necessary information and materialsMonitor, organize, and assist with the CEO's email, correspondence, and communications as requestedDraft and prepare emails, letters, reports, presentations, meeting materials, and other communications on behalf of the CEOServe as a liaison between the CEO and employees, leadership, vendors, business partners, and other external contactsHelp prioritize incoming requests and determine what requires the CEO's immediate attentionTrack commitments, deadlines, decisions, and action items resulting from meetings and conversationsFollow up with individuals and departments on behalf of the CEO to ensure assigned items are completedMaintain an organized system for outstanding projects, requests, and follow-up itemsPrepare meeting agendas, take notes when needed, and communicate follow-up responsibilitiesCoordinate travel arrangements, itineraries, reservations, and other logisticsAssist with planning company meetings, leadership meetings, events, and other business activitiesConduct research and gather information to assist the CEO with business decisions and projectsMaintain organized electronic and physical files, records, and documentationAssist with expense reports, invoices, receipts, purchases, and other administrative needsIdentify issues requiring the CEO's attention and communicate relevant information in a clear and timely mannerAnticipate the CEO's needs and proactively address administrative and organizational mattersAssist with special projects and business initiatives as assigned by the CEOHandle confidential business, financial, personnel, and strategic information with discretionPerform additional duties and responsibilities as assigned by the CEOPhysical Demands:Regularly required to sit, stand, walk, talk, and hearFrequent use of computers and office equipmentOccasional lifting up to 25 poundsVision requirements include close and distance focusPosition Type: Full-Time/RegularAlps Pharmacy is an Equal Opportunity Employer.
