Executive Assistant - Far North Dalla

Our client, private real estate investor with holdings across the United States, is looking for an Executive Assistant to support him in all aspects of his day-to-day business needs.

This role is ideal for a proactive professional who thrives on creating order, improving efficiency, and ensuring that business operations run smoothly.

The right candidate is emotionally intelligent, highly organized, discreet, resourceful, and confident enough to make decisions without constant direction. Anticipating needs, solving problems before they arise, and excelling in environments where priorities shift quickly and flexibility is essential.

This is much more than a traditional administrative role. The Executive Assistant will become a trusted business partner responsible for managing critical communications, creating systems and processes, and helping the executive maximize productivity and focus.

This role is 100% onsite in our client's far North Dallas office.

Key Responsibilities

Executive Support

Manage and optimize a complex executive calendar, ensuring priorities remain aligned with business objectives.

Serve as a trusted gatekeeper and strategic partner to the executive.

Draft, edit, and manage professional correspondence, reports, presentations, and other business documents.

Coordinate meetings, agendas, action items, and follow-up activities.

Manage expense reporting and maintain executive records and documentation.

Anticipate executive needs and proactively resolve issues with minimal oversight.

Process Improvement & Operations

Develop, document, and maintain Standard Operating Procedures (SOPs) for recurring tasks and business processes.

Create scalable systems that improve consistency, accountability, and operational efficiency.

Identify opportunities to streamline workflows through technology, automation, and process enhancements.

Maintain organized records, procedures, and documentation that support business continuity.

Support special projects, research initiatives, and operational priorities as needed.

Travel & Logistics

Coordinate domestic travel arrangements and detailed itineraries.

Manage scheduling conflicts and changing priorities with professionalism and urgency.

Ensure seamless execution of meetings, travel, and executive commitments.

Relationship Management

Build strong relationships with internal team members, business partners, vendors, and external stakeholders.

Handle sensitive and confidential information with the highest level of discretion.

Represent the executive and organization professionally in all interactions.

Required Experience

Executive Assistant, Senior Administrative Assistant, Chief of Staff support, or similar experience supporting senior leadership in entrepreneurial or boutique settings

Demonstrated experience managing a high-volume executive inbox, complex calendars, communications, and competing priorities.

Advanced proficiency in Outlook, including creating rules, folders, categories, and workflow systems.

Experience documenting processes, creating SOPs, and improving organizational efficiency.

Strong proficiency with Microsoft Office applications.

Experience using AI tools, workflow automation, and other productivity/project management systems and software.
