The executive assistant is responsible for providing personalized secretarial and administrative support to the CEO in a professional and timely manner. This role works one-to-one with the CEO on a wide variety of matters and is also part of the administrative team. The employee must be flexible to meet the demands of our growing organization. The ideal candidate will have a cheery disposition, impeccable organizational skills, advanced typing skills of 85+WPM, transcription experience and prior experience in an assistant role.
This position is responsible for:
Accurate verbatim transcription and editing of digital recordings
Maintain focus and consistently deliver quality work within tight timeframes
Handle confidential information ensuring they remain secure
Be proficient in MS Office based systems
Willingness to perform additional duties as assigned by the supervisor
Full-time front desk coverage
Must adhere to all department protocols and procedures
Proofread and edit transcripts to ensure accuracy and completeness
Ability to answer multi-line, busy phone lines and transfer calls professionally
Assist CEO in personal tasks including booking travel, flights, and hotels
Knowledge, Skills, and Abilities:
Full knowledge of office management systems and procedures
Exemplary planning and time management skills
Ability to stay calm and on-task in high-stress situations
Ability to multitask and prioritize daily workload
High level verbal and written communications skills
Discretion with personal and confidential information
Minimum Requirements Include:
Minimum typing speed 85 wpm, minimum 90% accuracy
Excellent attention to detail, active listening, and reading comprehension skills
Ability to interpret conversations and apply context to identify errors
Ability to manage and handle a high-volume workflow
Must be reliable, dependable, and have an excellent attendance history
Must be a team player
