Executive AssistantAvenzo Therapeutics, Inc. ("Avenzo" or "Company") is a clinical-stage biotechnology company focused on developing next-generation oncology therapies for patients. The Company was co-founded in 2022 by Drs. Athena Countouriotis and Mohammad Hirmand. Our team is passionate about and committed to advancing a pipeline of potentially differentiated targeted oncology programs that make a difference in the lives of people with cancer. The Company is headquartered in San Diego, California.Reporting to the Chief Financial Officer, the Executive Assistant will provide high-level administrative and operational support to a team of senior executives. As a trusted partner, this role proactively manages priorities, anticipates needs, and enables leadership effectiveness through exceptional organization, discretion, and judgment. Responsibilities include managing complex calendars and communications, coordinating meetings and leadership activities, arranging travel and expenses, supporting governance processes, and driving follow-through on key business priorities. This position operates in a fast-paced, scientifically focused environment and requires executive presence, adaptability, and the ability to manage competing priorities with minimal direction.Essential Job Functions and ResponsibilitiesProvide high-level administrative, operational, and strategic support to a portfolio of senior executives, managing competing priorities with exceptional accuracy, discretion, and efficiencyServe as a trusted partner to executive leadership, helping manage strategic priorities, anticipate needs, and ensure focus remains aligned with critical business objectivesManage highly complex and dynamic calendars for multiple executives, balancing internal and external commitments while proactively identifying conflicts, dependencies, and shifting prioritiesCoordinate executive meetings, leadership forums, board-related activities, off-sites, and team events, ensuring seamless planning, logistics, and executionDrive follow-through on key action items, decisions, and deliverables arising from leadership meetings, maintaining visibility and accountability across stakeholdersCoordinate executive participation in conferences, investor events, and external engagements, including scheduling, logistics, venue coordination, and meeting managementPrepare executive briefing materials, presentations, reports, dashboards, and other communications to support decision-making and leadership effectivenessManage domestic and international travel arrangements, expense reporting, and related administrative activitiesDraft and coordinate executive correspondence and communications on behalf of leadership, ensuring professionalism, accuracy, and alignment with business objectivesBuild and maintain strong cross-functional relationships to facilitate collaboration and support execution of executive priorities across the organizationResearch, synthesize, and summarize complex information to support leadership discussions, strategic planning, and decision-making.Handle highly sensitive and confidential information, including matters related to financial performance, personnel, legal affairs, and corporate strategy, with the highest degree of professionalism and discretionIdentify opportunities to improve executive support processes, meeting effectiveness, communication workflows, and operational efficiencySupport special projects, strategic initiatives, and ad hoc business priorities while providing occasional on-site support for leadership, employee events, board meetings, and other company activitiesPreferred QualificationsBachelor's degree required with 5+ years of experience as an executive assistant, 3+ years of experience supporting C-Level Executives preferably in the pharmaceutical or biotechnology industry or an equivalent combination of academic and industry experience.Demonstrated ability to operate effectively in a scientific, technical, or otherwise highly complex executive environmentProactive, resourceful, and adaptable, with a solution-oriented approach to supporting a dynamic and demanding organizationAbility to anticipate executive needs, exercise independent judgment, and operate with minimal directionProven ability to handle highly sensitive and confidential information with integrity, discretion, and sound judgmentExceptional organizational skills and attention to detail, with the ability to manage multiple priorities independentlyStrong executive presence with excellent verbal and written communication skillsExcellent interpersonal skills with the ability to build trusted relationships with staff, Board members, and external partnersProficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with advanced digital tools or data analytics is a plusHigh level of professionalism, commitment, and flexibility, including availability outside standard business hours as requiredExcellent communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholdersStrong analytical and problem-solving abilities, with a strategic mindsetThis position requires periodic/regular travel, including up to 5% of work time, which may include overnight travelPhysical Demands and Work EnvironmentPhysical Demands:Constant or continuous use of a computer keyboard, monitor, and mouse to perform a variety of tasksConstant or frequent sitting, standing, or walkingMay lift and/or move objects of various weightsWork Environment:On-site requirement (Monday through Thursday)Noise level in the work environment is usually moderateFast-paced, time sensitive environment with frequently changing prioritiesHandle multiple projects simultaneouslyReasonable accommodations may be provided to enable qualified individuals with disabilities to perform the essential functions of the position.Salary RangeThe salary range for this position is $117,000 to $135,000 per year. The final pay offered to a successful candidate will be dependent on several factors that may include, but are not limited to, the type and years of experience within the job and the industry, education, and skills and certifications.BenefitsProvided they meet all eligibility requirements under the applicable plan documents, employees (and their eligible dependents) will be eligible to enroll in group healthcare plans that offer medical, dental, vision, and basic life and AD&D insurance. Additional benefit programs include short-term and long-term disability insurance, flexible spending accounts, health savings accounts, and voluntary insurance programs, including voluntary life, AD&D accident, and critical illness. Employees will also be able to enroll in the Company's 401(k) plan. In addition, employees will accrue 10 hours of paid vacation time every month and accrue 1 hour of paid sick leave for every 30 hours worked. Employees also enjoy 17 paid holidays each calendar year, including a winter closure, subject to applicable Company policies.
