Executive Assistant– Supporting CEO & PresidentIndustry: Nonprofit / Professional AssociationLocation: Schaumburg, ILPay: $40 - $44 / hourWork Schedule: 40 hours/week | Hybrid – approximately 2 days in office and 3 days remote after initial trainingBenefits: This position is eligible for medical, dental, vision, and 401(k).About The Company:Our client is a mission-driven professional association supporting healthcare professionals and organizations within the industry. The position also provides exposure to senior executives, board members, committees, and association leadership.Job Description:We are seeking an Executive Assistant to provide high-level administrative support directly to the CEO and President. This individual will play an important role in keeping executive priorities organized and ensuring meetings, schedules, communications, and follow-up are handled seamlessly.The ideal candidate is highly proactive, detail-oriented, and confident working with senior-level executives. This is a role where anticipating needs, thinking ahead, and taking ownership are essential.You will also have the opportunity to support board and committee activities and contribute to process improvements as the organization's executive support team continues to evolve.Key Responsibilities:Provide direct administrative support to the CEO and President, helping manage their day-to-day priorities and administrative needsOwn and coordinate complex executive calendars, including scheduling meetings, managing conflicts, and coordinating with internal and external stakeholdersPlan and organize executive meetings, including preparing agendas, materials, meeting notes, and follow-up itemsAssist with domestic and occasional international travel arrangements, itineraries, and related logisticsManage and submit executive expense reports using ConcurSupport the CEO and President with special projects and administrative initiativesAssist with improving administrative processes and creating efficiencies across the executive support functionCoordinate logistics for Board, Finance Committee, and volunteer committee meetingsProvide administrative support surrounding Board meetings and assist with communication and follow-upAttend meetings, capture key information and action items, and proactively ensure appropriate follow-throughUtilize Monday.com extensively to organize projects, monitor deadlines, track action items, and manage workflowsMaintain member and stakeholder information through Salesforce/NimbleCreate and update presentations, spreadsheets, correspondence, and other executive materials using the Microsoft Office SuiteCollaborate regularly with executives, board members, volunteers, and internal teamsQualifications:5+ years of executive administrative support experienceExperience supporting VP-level or C-suite executives; C-suite experience strongly preferredPrevious nonprofit or professional association experience is a plusBachelor's degree preferredStrong proficiency with Microsoft Office Suite, including intermediate to advanced ExcelExperience with Salesforce/Nimble, Concur, and/or Monday.com is highly desirableExceptional attention to detail and organizational skillsStrong written and verbal communication abilitiesAbility to handle confidential and sensitive information with discretionComfortable interacting professionally and confidently with senior executives and leadershipStrong critical thinking and independent decision-making skillsPerks:Hybrid work environment with approximately 2 days in office and 3 days remoteStrong work-life balance and family-friendly cultureMission-driven organization supporting healthcare professionalsCollaborative and engaging office environmentOpportunity to work closely with senior leadership and gain valuable executive-level experiencePotential pathway to a longer-term or permanent opportunityExposure to board, committee, and association leadershipWelcoming office culture with employee-focused activities and amenitiesGreat opportunity for an experienced administrative professional looking to grow within the nonprofit/association spaceAddison Group is an Equal Opportunity Employer.
