Job Description:We are seeking an experienced and proactive Executive Assistant to support a dynamic entrepreneur and manage day-to-day operations across multiple business functions. This role is ideal for someone who thrives in a remote setting, excels at task prioritization, and can seamlessly balance high-level executive support with operational coordination.
The ideal candidate is detail-oriented, tech-savvy, organized, and capable of making strategic decisions in alignment with the founder’s goals. Prior experience supporting a founder or C-suite executive in a fast-paced, remote environment is highly desirable.
Responsibilities:
Provide high-level executive support including email and calendar management, inbox prioritization, scheduling, and travel coordination.
Act as a key liaison between the executive and team members, ensuring smooth information flow and task follow-through.
Manage business operations including SOP creation, CRM/data oversight, invoicing support, and vendor communications.
Lead project tracking and task delegation through tools such as ClickUp, Notion, or Asana.
Proactively identify gaps or inefficiencies and implement systems to improve productivity.
Maintain confidentiality and professionalism in handling sensitive information.
Oversee special projects and administrative workflows to ensure timely execution.
Prepare reports, summaries, and communication briefs for leadership.
Requirements
3+ years of experience as an Executive Assistant, Virtual Assistant, or Operations Manager, preferably in a remote setting.
Exceptional organizational and multitasking skills with the ability to manage shifting priorities independently.
Proven experience using productivity tools such as Google Workspace, Slack, Zoom, ClickUp, Notion, or similar.
Strong written and verbal communication skills; capable of representing the executive with polish and professionalism.
Comfortable managing business systems, vendor relationships, and CRM tools.
Strategic mindset with a get-things-done attitude; not just a task taker, but a problem solver.
Experience working in a startup or entrepreneurial environment is a plus.
