As Executive Assistant to the Vice President of Customer and Operational Excellence, you'll keep a fast-moving leader organized. You'll manage complex calendars, coordinate meetings and events, and plan domestic and international travel with foresight and efficiency. Along the way, you'll build skills that will help you for the rest of your career. Learn to work smarter with AI. You'll build basic skills in using AI as an everyday helper. You'll use it to draft correspondence, summarize meetings, prepare presentations, and make routine work like scheduling and expense reports easier. You'll be a trusted partner who keeps confidential information safe and keeps the team running smoothly.What you'll do:Manage Vice Presidents' calendars to allow for participation in key meetings and time for individual workPlan and prepare meetings and events (logistics, documents, presentations, catering, etc.) for executives' departmentsResponsible for booking travel (domestic and international), as well as hotel accommodations, transportation, and itinerary creation with ability to anticipate travel needs, mitigate issues, and collaborate with appropriate resources to resolve in a timely mannerInteracts professionally with all levels of management, external business partners, and community leadersCompose correspondence, prepare presentations, reports, and other ad hoc materials with attention to detail and accuracyResponds to inquiries, requests, and complaints within limits of authorityProtects the integrity of confidential information for all mattersManage time and attendance, expense reports, invoices, and ordering of suppliesAll you'll need for success:Minimum Qualifications- Education & Prior Job Experience:High school diploma or GED equivalency0-2 years work experience in a prior executive assistant or office management position or 3+ years of AA experiencePreferred Qualifications- Education & Prior Job Experience:Bachelor's degree in a relevant field5+ years work experience in a prior executive assistant or office management positionSkills, Licenses & Certifications:Excellent working knowledge of Microsoft software to include Word, Excel, PowerPoint, Outlook, and TeamsMust be self-motivated with strong organizational skills, ability to prioritize conflicting needs and requests, and meet deadlinesDemonstrates excellent analytical and problem-solving skillsExhibits high emotional intelligenceCan perform in a fast-paced environment, manage multiple tasks simultaneously, work extended hours as needed, and function as an integral part of a team with minimal supervisionFamiliarity with Workbrain, Coupa, Concur, and proprietary softwareWhat you'll get:Feel free to take advantage of all that American Airlines has to offer:Travel Perks: Reach 365 destinations on more than 6,800 daily flights across our global network.Health Benefits: Access to health, dental, prescription, and vision benefits on day one, plus virtual doctor visits, flexible spending accounts, and more.Wellness Programs: Tools, resources, and support to help you be the best version of yourself.401(k) Program: Available upon hire with employer contributions after one year.Additional Benefits: Employee Assistance Program, pet insurance, and discounts on hotels, cars, cruises, and more.From the team members we hire to the customers we serve, inclusion and diversity are the foundation of the dynamic workforce at American Airlines.
