Executive Administrative AssistantAcrivon is seeking an experienced, eloquent, highly organized, and talented professional to join our team. This individual will provide executive administrative support, primarily to the CEO, as well as other C-level team members on an as needed basis. The individual must demonstrate a high degree of sophistication, tact, and discretion for dealing with information of a critical and confidential nature and be an advocate and credible representative for Acrivon and the CEO. S/he will provide extensive coordination and communication with both external parties, including investment bankers, analysts, investors, collaborators, and other outside parties, as well as with Board members and the internal team across multiple geographies and time zones. In addition to strong interpersonal skills, to succeed in this role, the individual must have outstanding computer and troubleshooting skills, particularly with Microsoft Word, Excel, PowerPoint, and virtual meeting tools such as Zoom and Teams. This individual must thrive in a fast-paced, fluid, and rapidly evolving corporate environment, and be adept at multi-tasking, yet detail-oriented with the ability to follow through and complete tasks in a timely and structured manner. The candidate will also from time to time be expected to make him/herself available for urgent matters if needed outside normal business hours, for instance in situations of travel disruptions, urgent financing or filing matters. The individual must be a solution-oriented team player, whose actions exemplify integrity, dependability, adaptability, and self-confidence. This position is fully on site, five days per week, at Acrivon's headquarters in Watertown, MA.Duties and Responsibilities:Provide calendar management for primarily the CEO and secondarily the CFO for analyst, investor, and other company-critical meetings, as well as other C-level team members, as needed, often involving multiple parties, stakeholders, and time zones.Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.Manage meeting logistics, e.g., conference room reservations, AV/IT arrangements, catering, greeting guests, etc.; work with meeting participants to ensure that materials are provided in advance and print if needed.Collaborate with internal team members, and other administrative assistants to ensure smooth workflows and efficient operations.Owns and manages the scheduling and administrative preparations for the quarterly and annual Board and committee meetings.Comfortable and experienced with investor and bank analyst interactions and communication. Familiar with key stakeholders in investment ecosystem including investment bankers, equity research analysts, investors, corporate access, etc.Help coordinate complex domestic and international travel; including travel itinerary and ensuring passport/visa/countries entry and exit requirements are met.Assists with preparation of reports and presentations.Performs other related duties as assigned.Required Skills/Abilities:Life Sciences or Biotech experience with 5+ years supporting C-suite executives, ideally including support of CEO in a publicly traded biotech company.Detailed and accurate calendar management, follow-through on tasks to completion, and detailed, timely expense reporting and management (ideally with Concur) are essential.Excellent verbal and written communication skills.Structured, with exceptional organizational skills and attention to detail.Excellent time management skills with a proven ability to meet deadlines and follow through with completion of tasks.Strong IT and computer skills, with the ability to efficiently work on applicable Microsoft platforms, including Microsoft Word, Excel and PowerPoint.Ability to function well in a high-paced environment.Strong interpersonal skills; "ambassador" to both internal and external stakeholders.Self-starter; demonstrates resourcefulness with proven ability to anticipate needs and manage multiple tasks.Critical thinker; demonstrates outstanding judgment and problem-solving capabilities.Comfortable navigating ambiguity and shifting priorities.Flexible "can do" attitude; able to adapt and reprioritize to shifting or competing priorities.High level of judgment and discretion related to sensitive and confidential information.Motivated by working in a fast-paced, dynamic environment.Availability to work outside of normal business hours when business needs require it.Acrivon Therapeutics is proud to be an equal opportunity employer and to provide equal opportunities to all employees and applicants for employment without regard to race, color, religion, sex or gender identity, national origin, age, disability, sexual orientation or genetics.
